Tasks
Your team's to-do list with a due date. Keep it as a simple list or as a calendar, remind people before the deadline, and tick things off from the job they belong to.
What it is
Tasks is the shared to-do list for your company. Every task has a title, a due date and time, a priority, and the people who are meant to do it. You open it from the left menu: Work›Tasks. On a phone, tap the Settings button in the bar along the bottom and pick Tasks.
The page has two separate switches in the toolbar, and it helps to keep them apart in your head:
List / Calendar
List stacks the tasks as cards you can tick off. Calendar lays them out on a grid by the hour (or by the day, in Month). This is the pair of buttons on the far right of the toolbar.
Day / Week / Month
How much time you are looking at. The arrows either side of the date move you forwards and backwards by that amount.
Both switches work together, so "Week + Calendar" is a seven-column timetable and "Week + List" is the same tasks grouped under date headings. Opening Tasks from the menu always starts you on Day and List; arriving from a notification, a search result or the Dashboard can put you somewhere else on purpose.
When to use it
- "Call this customer back on Thursday morning" — anything with a deadline and a person attached.
- Working through what is due today and ticking it off as you go.
- Checking what your team has fallen behind on, using the overdue view.
- Giving a job-related follow-up to an office agent or a field worker.
- Getting a reminder before something is due, so it does not slip.
Use Appointments instead when a customer is expecting you at a time and place. Use Callback Tickets for follow-ups on work you already finished. Tasks are for your own team's internal to-do list.
Before you start
- Your role needs Tasks access. An owner or admin turns this on under Settings›People›Team Roles, in the Management group, with the toggle called Tasks. Without it the menu item is hidden and the page will not open.
- The people you want to assign must already exist. The assignee pickers list active office agents and active field workers from Settings›People›Team Members. Someone who has not been added there cannot be picked.
- To link a task to a job or a customer, start from that record. The standalone Create Task window has no job picker. Open the job or client first and add the task from its Tasks tab — see Tasks on a job or a client.
- Reminders arrive as notifications. If you want them on your phone, allow notifications for Joby first — see Notifications.
- Your company may use different words. "Office Agent", "Field Worker" and "Lead" can all be renamed for your account, so the two assignee pickers may read "CSR" and "Technician" instead.
Step-by-step
Create a task
- Open Work›Tasks and click New Task at the top right. (The small + next to Tasks in the left menu, and Create new›Task next to your company name, both open the same window. On a phone, tap New in the page header.)
- Type a Title. This is the only field you must fill in — everything else has a sensible default. Add a Description if there is detail worth keeping.
- Set Due Date and Due Time. A new task starts out due one hour from now, at 09:00.
- Choose a Priority: Low, Medium, High or Urgent. Medium is the default.
- Choose Remind Before: No reminder, 5 minutes, 15 minutes, 30 minutes, 1 hour or 1 day. It starts on 15 minutes.
- Pick who does it. There are two pickers side by side — Office Agents and Field Workers — and you can tick more than one person in each. Everybody you tick gets the reminder.
- Click Create Task.
Work through today's tasks
- Open Work›Tasks. It lands on Day + List, showing today under a heading that reads Due Today, with the count of tasks on the right.
- Tick the round checkbox on the left of a card to complete it. The title gets a line through it, the card fades, and a green Done tag appears. Tick it again to reopen it.
- Click anywhere else on the card to open it. The Edit Task window has the same fields as when you created it, plus a Mark as completed switch at the top.
- Use the arrows either side of the date to move to another day, Today to jump back, or Custom date to pick a date from a small calendar.
Move a task to another day
- Click the ⋮ button at the top right of the task card.
- Hover Push and choose Tomorrow 9 AM, Next week or Next month.
- A message confirms the new date and time. Tomorrow 9 AM is measured from today; Next week and Next month shift the task's own existing due date forward.
For any other date, open the card and change Due Date and Due Time yourself.
Change a priority without opening the task
- Click the coloured priority tag on the task card.
- Pick Urgent, High, Medium, Normal or Low from the drop-down. It saves straight away.
Tick off a whole batch at once
- Narrow the page down to what you want to clear — a date, a person, a priority, the overdue view.
- Click Complete visible. The button only appears when there is something open to complete.
- A window called Complete visible tasks? tells you exactly how many tasks it is about to tick off. Read the number, then click Complete tasks.
Delete a task
- Click the ⋮ button on the card and choose Delete.
- Confirm the "Delete this task?" message. Deleting cannot be undone, so completing is usually the better choice.
How to check it worked
- New task: a "Task created" message appears, the window closes, and the task shows up on its due date. If you cannot see it, you are probably looking at a different day.
- Completed: "Task completed!" appears, the title gets a line through it, and the pending / completed counts under the page title change.
- Pushed to another day: the message names the new date and time, and the task disappears from the day you are on.
- Assigned to someone: their name appears next to the little person icon at the bottom of the card. Two names show in full; any more are counted as "+2".
- Batch completed: the message tells you how many tasks were ticked off, for example "12 tasks completed".
- Reminder set: switch to Day + List on the reminder's date. A second group called Reminders lists tasks that are due later but will remind you on that day.
Common mistakes
Searching for words in the description
The Search tasks... box only looks at task titles. Wording that only exists in the description will never match.
Looking on the wrong day
The page always shows one day, one week or one month at a time. A task you cannot find is usually just on another date — switch to Month, or use the overdue view.
The "Assigned to" filter in Calendar
Calendar ignores Assigned to and always draws everybody's tasks. Switch to List when you need one person's workload.
"Normal" priority hides from the filter
The card drop-down offers Normal, but the priority filter only lists Urgent, High, Medium and Low. A Normal task is only visible with the filter on All priority.
- Expecting a lead picker in the Create Task window. There isn't one. A task is only tied to a job or a customer when you create it from that record's Tasks tab.
- Assuming "Complete visible" clears everything that matches. It only ticks off the open tasks currently on screen. The confirmation window states the exact number — read it before you confirm.
- Setting a reminder but nobody assigned. With no assignee the reminder goes to whoever created the task, which may not be the person who needs it.
- Setting a reminder in the past. If the due time is in an hour and you choose "1 day", the reminder moment has already gone and nothing will be sent.
- Deleting instead of completing. A deleted task is gone for good. Completing keeps it on the calendar with a line through it, which is what you want for any kind of record.
- Expecting a long list on one screen. List shows 50 tasks per page, with page buttons at the bottom. Narrow the filters instead of scrolling for a missing task.

List and Calendar
List
Cards stacked in date order, with a round checkbox on each one. This is the view for working: it is the only one with the Assigned to filter, the page buttons along the bottom, and the reminder group in Day.
Calendar
A timetable. Day and Week draw an hour-by-hour grid with a red line across the current time, scrolled to the morning when it opens. Tasks sit as small coloured blocks at their due time — red for Urgent, orange for High, blue for Medium, grey for Low and for anything already completed. Two tasks at the same time sit side by side rather than on top of each other.
Month in Calendar is the familiar wall-calendar grid, with up to three tasks listed in each day box and a "+2 more" line counting any others. To read the ones hidden behind that line, switch to List, or move to Week or Day — clicking the day box itself starts a new task rather than opening the day.
In Calendar you can create a task by clicking empty space: on the Day and Week grids the new task is timed to the slot you clicked, rounded to the nearest quarter hour; in Month it is set to 9:00 on the day you clicked. Clicking an existing block opens it for editing.
Day, Week and Month
Day
One date. In List you get two groups: Due for tasks due that day, and Reminders for tasks due later whose reminder lands that day.
Week
Sunday to Saturday. In List the tasks are grouped under a heading per date, each showing its own count.
Month
The whole month. In List the date headings fold up — the first two days open automatically and you click a heading to open or close the rest.
Only Day looks at reminders. Week and Month are strictly about when a task is due.
What a task card shows
- A round checkbox on the left — tick it to complete, tick again to reopen.
- The title, with the first two lines of the description underneath.
- A coloured priority tag — red for Urgent, orange for High, grey for the rest. Click it to change the priority on the spot.
- A green "Done" tag once the task is completed.
- The due date and time. It turns red when the time has passed and the task is still open.
- Who it is for, next to a small person icon. Up to two names are shown in full, then "+2" for the rest.
- The job or customer it belongs to, next to a small chain-link icon, when the task was created from one. Click it to jump straight to that record.
- A ⋮ button with Push, Edit and Delete.
There are no profile photos on task cards — assignees appear as names, not pictures.
Finding tasks
The row under the date controls narrows the page down:
Search tasks...
Matches the title only, within the dates you are looking at.
Status
All status, Pending (still to do) or Completed.
Priority
All priority, Urgent, High, Medium or Low.
Assigned to
Everyone or My tasks for anybody. Owners and admins also get every office agent and field worker by name.
Assigned to is on the desktop only, and it applies to List only. Status, Priority and the search box work in both List and Calendar.
To find a task when you have no idea which date it is on, use the search box at the very top of the screen (Search leads, clients, estimates...). Tasks are included there, and picking one opens the Tasks page on the right day with that task highlighted and ready to edit.
Overdue tasks
Anything still open after its due time is overdue. There is a dedicated view for it, and three ways in:
- The number badge on Tasks in the left menu counts overdue tasks. Click the badge itself (not the word "Tasks") to open the overdue view.
- On the Dashboard, the Overdue tasks card in the action list has an Open tasks button, and lists a few of them so you can jump straight to one.
- The View tasks link on the Dashboard's tasks figure.
In the overdue view the heading reads Overdue tasks, the date arrows are switched off (dates no longer apply), and the Today button is replaced by Scheduled, which takes you back to the normal by-date page. Everything else still works, so Complete visible is a quick way to clear a backlog you have already dealt with.
Reminders and notifications
How a reminder behaves
Remind Before is counted backwards from the due time. At that moment, everyone assigned to the task gets a notification titled Task Reminder: (your title), both in the bell menu at the top of the screen and as a push notification on their phone. Opening it takes them to the task.
- A reminder is sent once, and only while the task is still open. Completing the task first cancels it.
- Everyone ticked in the two assignee pickers gets their own copy.
- If nobody is assigned, the reminder goes to whoever created the task.
- The notification's message is the task's description, or the due date and time when there is no description.
- Reminders and due dates are two different things. In Day + List, tasks reminding today but due later are listed separately under Reminders, each showing its reminder time and its real due date.
Tasks on a job or a client
Jobs and customers have their own Tasks tab, and it is the only place a task gets attached to a record.
- Open the job from Work›Leads, or the customer from Work›Clients.
- Go to the Tasks tab.
- Click Add Task. The window is the same one as before, and the record it belongs to is shown as a link at the top.
- The tab has its own Pending / Completed / All switch, each with a count, and it shows 25 tasks per page.
Tasks created here also appear on the main Tasks page on their due date, and their card carries a link back to the job or the customer. Whether a role can see these tabs at all is controlled by the Tasks tab toggles under Settings›People›Team Roles.
On your phone
Swipe to complete
Drag a task card to the right and let go. The card slides to show a green Complete label and the task is ticked off, with a small buzz to confirm.
- Tasks lives in the Settings menu in the bar along the bottom of the screen.
- Tap New in the page header to add a task.
- Pull the page down to refresh it.
- Assigned to is not shown on a phone — the page always shows everybody's tasks. Use a computer when you need to filter by person.
Tasks created for you
Automations
In Visual Workflows the Create a Task step writes a task with a title, description, priority and a Due In amount of minutes, hours or days. Switch on Link to Lead and it attaches itself to the job that set the automation off.
Joby AI
Ask Joby AI to make a task in plain English and it creates one with a title, due time, priority and assignee.
Tasks can also start an automation. The available starting points are Task Created, Task Completed, Task Assigned, Task Priority Changed and Task Due Date Changed — useful for things like texting a manager whenever an urgent task is still not done.
Who can do what
- Owners and admins get everything, including the by-person Assigned to filter.
- Everyone else with Tasks access can create, edit, complete, push and delete tasks, and can narrow the list to My tasks, but cannot filter by another named person.
- Roles with Tasks switched off do not see the menu item and cannot open the page.
- The Tasks tab on jobs and on customers is turned on and off separately for each role, under Settings›People›Team Roles.
A role limited to its own records only sees the tasks tied to the jobs and customers it is allowed to see.
