    What it is

    A Team Role is a saved list of on/off switches that decides what one group of people can do in Joby. You build the role once, then give it to as many team members as you like.

    A role controls four levels of detail, shown as separate cards in the role editor:

    Main Access

    Which pages the person can open at all — Dashboard, Leads, Estimates, Reports, Settings and so on.

    Inside Lead Page

    Which buttons and tabs they get once a lead is open, including whether they can see or edit money fields.

    Inside Client Page

    Client tabs, the totals cards, and whether they can edit or delete a client.

    Inside Conversations

    The filter buttons in the inbox and whether they can archive a conversation.

    There is also a Leads Page Views card that decides whether the person can use the List, Calendar or Pipeline view on the Leads page.

    Roles belong to your company only. If you run more than one company in Joby, each one has its own set of roles.

    When to use it

    • A new office agent should answer calls and book jobs, but should not see reports or billing.
    • A dispatcher should schedule work but should not be able to delete leads or change prices.
    • A field worker should only see the jobs assigned to them, on their phone.
    • A bookkeeper should see Invoices and Payments and nothing else.
    • You want one person to stop seeing customer money fields without taking away the whole Leads page.

    If you only need to add or remove a person, you do not need a new role — see Office Agents & Users.

    Before you start

    • You need an admin login. The Team Roles page opens only for owners and admins. Everyone else is sent back to the Dashboard if they try the link.
    • The person must already be on your team. Add them first under Settings›People›Team Members.
    • The person must have a login. Only team members with a login can be given a Team Role. External subcontractors with no login have nothing to sign in to, so the Team Role column stays empty for them.
    • Decide the job, not the person. Name roles after the job — “Dispatcher”, “Bookkeeper”, “Sales Rep” — so you can reuse them.

    The owner is always above roles

    The company owner keeps full access no matter what. On the Team Members list, the owner’s row shows Owner, full access instead of a role dropdown. Anyone whose login is an admin also keeps full access, even if you give them a restricted role.

    Step-by-step

    Create a role

    1. Go to Settings›People›Team Roles.
    2. Click New Role in the top right.
    3. In Role Setup, type a Role Name (for example “Dispatcher”).
    4. Turn on Limit to assigned records if this person should only see leads that are assigned to them, plus the clients, estimates and calls attached to those leads.
    5. Turn on Simple day view on mobile if you want their phone to open the Leads page straight to today’s jobs as cards. This changes the look only — it does not hide anything on its own.
    6. In the Main Access card, switch on the pages this role should be able to open. Each group heading (General, Communication, Management, Reports & Billing, Admin & Settings, Industry Modules) has its own switch that flips the whole group at once.
    7. Use Inside Lead Page, Leads Page Views, Inside Client Page and Inside Conversations to switch off individual buttons, tabs and filters. These start switched on, so you only need to turn off what you do not want.
    8. Click Save Role.

    The new role appears as a card on the Team Roles page showing how many permissions are switched on.

    Give the role to a team member

    1. Go to Settings›People›Team Members.
    2. Find the person in the list. Use the search box or the tabs across the top (All, Office Agents, Field Workers, External Subcontractors).
    3. In the Team Role column on their row, open the dropdown and pick the role. It saves straight away and you see a “Role updated” message.

    You can also pick a Team Role while inviting a new office agent: Add Team Member›Office Agent›Continue, then choose the role before clicking Send Invite.

    Edit or delete a role

    1. Go to Settings›People›Team Roles.
    2. Click Edit on the role card, change the switches, then click Save Role.
    3. To remove a role you built yourself, click Delete on its card and confirm. Move everyone off the role first — Joby refuses to delete a role that is still assigned to someone.

    How to check it worked

    • On Settings›People›Team Roles, the role card shows a count such as “12 of 33 permissions enabled”. If you switched on the Limit to assigned records option, the card also shows an Assigned records only label.
    • On Settings›People›Team Members, the person’s Team Role column shows the role name. Use the All roles dropdown in the toolbar to list everyone on that role and confirm nobody was missed.
    • Ask the person to look at their sidebar. Permission changes reach them within a few seconds without signing out; if their screen looks stale, a page refresh picks it up.
    • Ask them to open a lead and a client and confirm the tabs match what you expect.

    Common mistakes

    Giving a restricted role to an admin

    Owners and admin logins always keep full access. If someone still sees everything after you restrict their role, their login is an admin — change what kind of login they have instead.

    • Trying to delete a role that is still in use. You will see “Cannot delete a role that is assigned to agents”. Move those people to another role first.
    • Editing lead or client detail switches while the page itself is off. The switches in Inside Lead Page are greyed out until Leads & CRM is on in Main Access. The same goes for Inside Client Page (needs Clients) and Inside Conversations (needs Conversations).
    • Turning off every Leads view. At least one of List, Calendar or Pipeline must stay on, otherwise the Leads page would open empty. Joby blocks the last one with a message.
    • Trying to switch off “Limit to assigned records” on the Field Worker role. That role shows Always on instead of a switch. To give a field worker wider access, put them on a different role.
    • Renaming a system role. The Role Name box is locked for the roles Joby ships with. You can still change their switches.
    • Blaming a role for a missing sidebar tab. Each person can hide their own tabs under Settings›Account Settings›Sidebar tabs. Check there before rebuilding a role.
    • Looking for Auto Transport, Garage Door Estimates or Power Dialer. Those switches only appear if the matching add-on is switched on for your company.
    • Expecting “Simple day view on mobile” to hide data. It only changes how the Leads page looks on a phone. Use Limit to assigned records to actually restrict what someone can see.

    The two Role Setup options

    Limit to assigned records

    The person only sees records connected to leads assigned to them. Use it for field workers, and for office agents or dispatchers who should work only their own queue.

    Simple day view on mobile

    On phones, the Leads page opens straight to the day’s schedule as cards, with call, message and route buttons on each one. No list, pipeline, month view or filters. Desktop is unchanged.

    Invoices used to sit inside Estimates

    Invoices became its own switch later. Older roles that were never re-saved follow whatever their Estimates switch says until you set Invoices yourself. Open the role, set Invoices the way you want it, and save.

    Tip

    Each group heading in the Main Access card has its own switch. Flip it to turn every switch in that group on or off at once, then fine-tune from there.

    The finer switches

    The other cards in the role editor go one level deeper. They all start switched on for any role that has the matching page, so you only switch off what you want to take away. If the page itself is off, these switches are greyed out.

    Inside Lead Page

    Lead actions:

    • Edit basic lead details
    • Change lead status
    • Change assigned office agent
    • Change assigned field worker
    • Send lead to field worker
    • Send “On my way” text to customer
    • Delete leads

    Lead tabs — switch any of these off to hide that tab inside a lead:

    Details, Visits, Items, Payments, Tasks, Time, Activity, Calls, Comments, Estimates, Invoices, Expenses, Service Plans and Documents.

    Lead money:

    • See lead financial fields — whether prices and totals are visible at all
    • Edit lead financial fields — whether they can change those numbers

    Lead restrictions:

    • Block changing status to Canceled — use it when the role may move a lead through your statuses but should never cancel one. It only becomes available once “Change lead status” is on.

    Leads Page Views

    Decides which views appear in the switcher on the Leads page: List view, Calendar view and Pipeline view. At least one must stay on.

    Inside Client Page

    Client actions: Edit client details, Delete clients, See total cards.

    Client tabs: Leads, Estimates, Invoices, Service Plans, Payments, Tasks, Addresses, Documents, Activity and Calls.

    Inside Conversations

    Conversation filters: the SMS Only, Unread, Field Worker, Clients, Voicemail and Archived filter buttons in the inbox.

    Conversation actions: Archive / unarchive conversations.

    If your wording is different

    Card names follow the words your company uses. If your account calls leads something else, such as “Jobs”, the cards read “Inside Job Page” and “Jobs Page Views” instead.

    What happens when a switch is off

    • Sidebar: the menu item disappears.
    • Direct links: opening the address anyway sends the person to the first page they are allowed to use, usually the Dashboard.
    • Mobile: the matching bottom tab disappears.
    • Header buttons: the help button, the notification bell, team chat, the Joby AI button and the phone button each disappear with their own switch.
    • Inside pages: tabs, filters and buttons you switched off are simply not drawn.

    Changes reach signed-in team members within a few seconds. Nobody has to sign out and back in.

    Roles Joby creates for you

    Every company starts with three roles marked System: Admin, Office Agent and Field Worker.

    • You can edit their switches and save them.
    • You cannot rename them, and there is no Delete button on their cards.

    Roles you build yourself have no System label: rename them, change any switch, or delete them once nobody is assigned.

    The Field Worker role

    The Field Worker role always keeps Limit to assigned records on — the editor shows Always on where the switch would be. A field worker on this role sees only the leads and jobs assigned to them. It ships set up for phone use, with Leads, Conversations, Emails, SMS History, Callback Tickets, Clients, Estimates, Invoices, Time Clock, Commission Report, Team Chat and Notifications switched on, and the office and admin pages switched off.

    To give a field worker wider access, put them on a different role instead of trying to loosen this one.

    One extra control sits outside roles: to hide a customer’s real phone number and email from one field worker, go to Settings›People›Team Members, click the pencil on their row and turn on Call masking. Owners and admins are never masked.

    What happens with no role assigned

    Owners and admin logins always have everything. Anyone else who has a login but no Team Role falls back to a starter set:

    Dashboard, Leads, Conversations, Call History, Phone Dialer, Emails, SMS History, Tasks, Appointments, Callback Tickets, Clients, Time Clock, Team Chat, Notifications, the AI writing helper in Conversations, and the help button.

    Everything else — reports, payments, settings, phone numbers, integrations and the add-on modules — stays off until you assign a role that turns it on.

    Best practice

    Build a handful of roles named after jobs — “Sales Rep”, “Dispatcher”, “Bookkeeper”, “Manager” — instead of one role per person. Reviewing five roles a year from now is easy; reviewing forty is not.
