Field Workers & External Subcontractors
Everyone who does the actual work, in one list. Add them, decide whether they log in, set their commission, hand them jobs, share a job link, and record what you paid them.

What it is
Team Members is the single list of everyone who works for you, from the office to the field. You open it from Settings›Team Members. Across the top are four tabs — All, Office Agents, Field Workers and External Subcontractors — each showing how many people are in it.
Joby only really asks you one question about a person: do they log in to Joby, and do they work in the office or in the field. That gives three kinds of team member.
Office Agent
Answers calls, books jobs, manages customers, estimates and billing. Always gets a login by email invite. How much they see is decided by their Team Role.
Field Worker
Does the work and logs in to Joby. They only see the jobs assigned to them, can update the job, and clock in from their phone.
External Subcontractor
No login at all. You assign them jobs, notify them by email or text, share a job link with them, and track their commission and payouts.
The difference between a Field Worker and an External Subcontractor is only whether they have a login. Turn a login on and the same person moves to the Field Workers tab; turn it off and they move back. Nothing else about them changes — their jobs, commission and payment history stay exactly where they were.
Your company may use different words for these people. "Field Worker", "Office Agent" and "Lead" can all be renamed for your account by your Joby contact, so your buttons and tabs may read "Technician", "CSR" or "Job" instead.
When to use it
- Bringing a new technician, crew or outside company onto your team.
- Deciding whether someone should be able to log in to Joby, and undoing that later.
- Setting or changing the commission percentage someone earns.
- Limiting a person to the service types and areas they actually cover.
- Sending a job to the field and knowing it reached them.
- Giving someone a job link without creating an account for them.
- Keeping a copy of their insurance certificate, licence or signed agreement.
- Recording what you have paid them and what you still owe.
Use Team Roles instead when the question is "what is this person allowed to see". Use the Commission Report when the question is "how much money did this person earn".
Before you start
- Your role needs the Team Members page. That is the Manage Office Agents permission, switched on per role under Settings›Team Roles. Without it the page will not open.
- Set up your service types and service areas first. The Skills / service types and Service areas boxes on a person only offer what already exists under Settings›Job Types and Settings›Service Areas.
- An email address is required for a login. No email means no login invite can be sent. A phone number is what text messages go to.
- Text messages need phone registration approved. Until it is, the SMS tick box shows a padlock and Joby offers to take you to Settings›Phone Registration. Email still works in the meantime.
- Call masking needs a masking number. Set one under Settings›Phone Masking before you switch masking on for anyone, or Joby will block the send rather than hand out the customer's real number.
- Decide the Team Role you want for people who log in. The built-in Field Worker role is permanently limited to assigned records, which is usually what you want.
Step-by-step
Add someone who should not log in (External Subcontractor)
- Go to Settings›Team Members.
- Click Add Team Member at the top right.
- Choose External Subcontractor — No Login, then click Continue.
- Fill in First name, Last name and Display name. Display name is the only required one — it is what shows on jobs, schedules and reports.
- Add their Email and Phone.
- Set Commission %, then pick their Service areas and Skills / service types. Leaving either box empty means "matches everything", including service types and areas you add later.
- Under Lead Notification Method, tick Email, SMS, or both. Pick at least one or they will never be told about a job.
- Turn on Call masking if this person should never see the customer's real number.
- Click Add External Subcontractor.
Add someone who should log in (Field Worker)
- Settings›Team Members›Add Team Member, then choose Field Worker — Joby User and click Continue.
- Fill in the same details. Here Email is required, because that is where the login invite goes.
- In-app now appears as a third notification method — Joby can put the job straight into their app instead of only texting or emailing.
- Click Add & Send Login Invite. Joby asks you to confirm, because this creates a real login. If that is not what you wanted, choose Cancel and go back to External Subcontractor.
Give an existing person a login, or take it away
- On Settings›Team Members, find their row and click the ... button at the end of it.
- Choose Give login access to email them an invite. They move to the Field Workers tab.
- Choose Revoke login access to take the login away. Joby warns you first. They stay on your team as an external subcontractor and keep every job assignment and all their commission.
Decide what a logged-in person can see
- In the Team Role column of their row, pick a role from the drop-down. The change takes effect straight away.
- To change what a role means, go to Settings›Team Roles. The built-in Field Worker role keeps Limit to assigned records switched on permanently — to give a field worker wider access, move them to a different role instead.
Assign a job and send it to them
- Open the job from Work›Leads and find the Team section, or use the Assign Field Worker box on the new-job form.
- Pick a name from the list. Only people whose skills match the job's service type and whose areas match the job's service area are offered — which is why leaving those boxes empty is the safe default. Anyone without a login shows a small External tag next to their name.
- If your account allows more than one person per job, the first name you pick is the primary and carries a star. Click the star on another chip to promote them, or the x to remove someone.
- Send the job with the paper-plane button in the Actions column on the Leads list. The Send Lead Notification window opens with a card for each assigned person and a message you can edit before sending.
- Click Send to Assigned Field Workers.
Share the Field Worker Portal link
- On Settings›Team Members, click the chain-link button on their row.
- Use Copy portal link to put the link on your clipboard, or Send invite email to email it to them.
- Use Rotate link (new link) if the old one has been shared too widely — the old link stops working immediately. Disable access switches the link off; Enable access turns it back on.
Keep their paperwork on file
- Click the pencil button on their row to open their details.
- Scroll to the Documents card and click Upload. Insurance certificates, licences and signed agreements all live here.
- Each file can be renamed with the pencil, downloaded, or removed with the bin.
Record what you paid them
- Go to Reports›Commission Reports and open the Payments tab.
- Click Record Payment and enter the amount, date, method and reference.
- The row shows what that payment covers. Filter with All workers and All worker types (field workers with a login, or external with none) to narrow it down.
How to check it worked
- Person added: a confirmation message appears and a new row shows up with a coloured type badge — Office Agent, Field Worker or External Subcontractor. The tab counts go up.
- Login invite sent: the Login column reads Invite pending until they accept, then Has login. Before any invite it reads No login.
- Login revoked: their type badge flips back to External Subcontractor and the Login column returns to No login.
- Job sent: in the Send Lead Notification window their card turns green with a Notified tick. The confirmation message tells you how many people it reached and on which channels.
- Portal link works: paste the copied link into a browser. You should see their name, their jobs and their earnings — nobody else's.
- Payment recorded: a new row appears on the Payments tab and the running total in the badge at the top right goes up.
Common mistakes
Nobody appears in the assign box
The list only offers people whose skills match the job's service type and whose areas match the job's service area. A tightly picked list silently stops matching any service type you add later. Leave Skills and Service areas empty to match everything. If the box says Select service type first, set the job's service type before assigning.
Deleting when you meant to archive
Delete permanently removes the person along with their job assignments, documents and portal links, and it cannot be undone. Use Archive instead — the records stay and you can Restore them later. Anyone with payout or commission history cannot be deleted at all.
Waiting for them to accept the job
Joby records that the job was sent — that is what the green Notified tick means. There is no accept-or-decline reply built into the message, so confirm by phone or in Conversations if you need a yes.
Nothing sends, and the send button is dead
Two usual causes. Call masking is on for someone but no masking number is set — fix it under Settings›Phone Masking. Or you ticked SMS before phone registration was approved — the tick box carries a padlock until then.
No notification method ticked
If none of Email, SMS or In-app is ticked, Joby warns you in orange and that person simply never hears about their jobs. In-app only exists for people who have a login.
Adding an office agent twice
If someone in the office also goes out on jobs, do not create a second record for them. Edit their office agent row and turn on Also works in the field — they become assignable without a second account.

How commission is worked out
Everyone in the field carries a default Commission % on their own record. That percentage is taken from what is left on the job after costs: the job total, minus the field worker cost, minus company parts. The remainder is split between them and the company.
You can override that on any single job. Open the job and find the Commission Override card, then pick a Commission Type:
Use Default (%)
The percentage already on their record. This is what every job starts with.
Custom Percentage (%)
A different percentage for this job only. Their record is untouched.
Fixed Amount ($)
A flat sum for this job, whatever it sold for. Handy for a favour or a fixed-price callout.
As soon as you pick an override Joby shows a small Preview box with the net amount, their share and the company's share, and warns you in red if a fixed amount is bigger than what is actually left on the job.
The finished numbers live in the Commission Report under Reports›Commission Reports, which has tabs for Commission Report, Payments, Total Report, Total Report History, External Companies and Report History.
The Field Worker Portal (no login needed)
Every person in the field has a permanent private web link you can hand out. They open it on their phone and see their own work — no account, no password, nothing to install. This is the usual way to work with an external subcontractor.
What they see on the link
- A page headed My Work Orders with three figures across the top: Balance due, Paid to date and Upcoming.
- A Schedule they can flip between List and Calendar, with the customer's address and directions on each job.
- Each job broken into sections and the items on them, with the payout for each section.
- A comment box on each section and each line item, so they can ask you a question without calling.
- Customer prices only when your office has switched pricing on for that particular job. Their own payout is always shown.
You manage the link from the chain-link button on their row in Settings›Team Members: Copy portal link, Send invite email, Rotate link (new link), Enable access and Disable access. Rotating gives you a fresh link and kills the old one on the spot, which is what to reach for when someone leaves.
Telling them about work
Each person has their own Lead Notification Method, set on their record. Tick any combination of:
- Email — always available, as long as they have an email address on file.
- SMS — a text message. Locked with a padlock until phone registration is approved.
- In-app — only offered to people who have a Joby login, because it lands inside the app.
Beyond the job notification itself, you can reach them from Conversations, where a Field Workers chip filters the inbox down to just your field team. And in Visual Workflows you can build automatic rules around them — there is a Lead Assigned starting point and an Assign to a Field Worker action.
Hiding the customer's number
Switch on Call masking for a person and the job message carries a Joby number and an extension instead of the customer's real digits. It needs a masking number set under Settings›Phone Masking first — otherwise Joby stops the send and tells you why rather than leaking the number.
Finding people in the list
The toolbar on Settings›Team Members gives you four ways to narrow things down:
- The four tabs — All, Office Agents, Field Workers, External Subcontractors.
- A search box: Search by name, email or phone.
- An All roles drop-down, to see everyone on one Team Role.
- Two switches: Users only (has access) and Active only. Turn Active only off to see archived people.
The Auto-assign column at the end is for people with a login only. Switch it on and any job that person creates is assigned to them automatically.
Office agents who also work in the field
Owners and small-team office agents often go out on jobs themselves. Rather than adding them twice, open their row with the pencil button and turn on Also works in the field. Their badge changes to Office + Field and they start appearing in the assign box.
The toggle reveals a Commission %, Service areas and Skills / service types for the field side of their profile — leave the last two empty so they keep matching service types you add later. Turning the toggle back off only stops new assignments; jobs they already have, and every past report, stay exactly as they are.
Who can do what
All of this is set per role under Settings›Team Roles. When a permission is off, the button simply is not there.
- Manage Office Agents — opens Settings -> Team Members at all.
- Change assigned field worker — the Team section on a job.
- Send lead to field worker — the paper-plane button and the send window.
- Commission Report — the report and the Payments tab inside it.
- Limit to assigned records — the person only sees work connected to jobs assigned to them. Permanently on for the built-in Field Worker role.
- Simple day view on mobile — on phones, the jobs page opens straight to today's schedule as cards, with call, message and route on each one.
The owner is a special case
The account owner's row carries a crown and reads Owner, full access. Their role cannot be changed and their login cannot be revoked from this page.
