Set up follow-ups, reminders, alerts and job routing that run on their own. Pick a ready-made automation or build your own by clicking cards onto a canvas.

What it is
Automations are the jobs you would otherwise do by hand: texting a new enquiry back straight away, reminding a customer the day before you turn up, telling the office when an estimate gets signed, chasing an unpaid invoice. You describe the situation once, and Joby does it every time from then on.
You open it from Settings›Pipeline›Automations. It is not in the left-hand menu. (This page used to be called Visual Workflows, and older links with that name still open the same page.)
Every automation is three things in a row:
When this happens
The one event that sets it off — a new lead, a missed call, a signed estimate. Every automation has exactly one.
Only if
Optional checks that split the path in two — a Yes route and a No route.
Do this / Wait
The things that actually happen — send a text, create a task, change a status — with optional waits in between.
The Automations page lists everything you have, whether it is on, how many people are part way through it, and when it last did something. A second tab, Activity Log, shows every individual run.
When to use it
- Answering new enquiries and missed calls faster than anyone can type.
- Appointment reminders the day before, and review requests after the visit.
- Telling the right person the moment something happens — a signed estimate, a failed card, a new online booking.
- Chasing quotes and unpaid invoices on a schedule instead of from memory.
- Keeping records tidy: moving a status, adding a tag, adding a note, raising a task.
Use Bulk SMS instead when you want to text a list of people once, today. Use Visual Call Flows instead when you want to decide what a caller hears while the phone is still ringing — Automations run after the fact, not during a live call.
Before you start
- Automations are a Pro plan feature. On a lower plan the page shows an upgrade message instead of the builder.
- Your role needs the right switch. An owner or admin turns it on under Settings›Team Roles, in the Admin & Settings group, on the line called Visual Flows. Without it the page will not open.
- Set your statuses and service types up first. Trigger filters are picked from Settings›Pipeline›Lead Statuses and Settings›Pipeline›Service Types. If you rename one later, any automation still pointing at the old name quietly stops matching.
- Write your messages first if you can. Text and email steps can pull in a saved message from Settings›Pipeline›Communication Templates, which is easier than retyping the same wording into five automations.
- Texting needs a registered number. A Send a Text step needs a from-number, and outbound texting needs your registration finished under Settings›Channels›Phone Registration.
- Marketing steps only appear if you have Marketing. Add to Campaign and Remove from Campaign are hidden unless the Marketing module is switched on for your account and your role has Marketing access.
- Your company may use different words. "Lead", "Office Agent" and "Field Worker" can all be renamed for your account, so the cards may read "Job", "CSR" or "Technician" instead.
Step-by-step
Start from a ready-made automation (easiest)
- Go to Settings›Pipeline›Automations.
- Click New Automation at the top right (the Browse templates button next to it goes to the same place). The Add new automation page opens.
- Find the card you want and click Add automation. Anything you already have shows a green On badge and an Add another button instead.
- The builder opens with the steps already laid out and your company name filled into the wording. Click any step to read and change its settings on the right.
- Change the name in the box at the top left if you want, turn the Active switch on, then click Save (or press ⌘S).
Build your own
- From Settings›Pipeline›Automations, click New Automation, then Create your own automation on the gallery page.
- Type a name in the box at the top left. An orange dot appears in that box whenever you have changes that are not saved yet.
- The left panel opens on When this happens. Search it (try "missed call"), then click the card you want. It lands on the canvas. You can only have one starting event.
- Click that card and fill in its settings on the right. Most starting events have optional filters — Service Type Filter, Status Filter, Service Area Filter, Ad Source Filter, Tag Filter and so on. Leave them blank to catch everything.
- The left panel now reads Add a step. Click a card to add it and join it up automatically, or drag it if you want it in a particular spot.
- Fill in each step. A Send a Text step needs a From Number, a To and a Message Template; use the variable picker under the message box to drop in details like {{Lead.first_name}}.
- To join two steps by hand, drag from the dot on the bottom of one card to the dot on the top of the next. An Only if card has two dots underneath — Yes on the left, No on the right.
- Click Checklist in the toolbar and clear anything marked as required — it tells you plainly what is missing ("A wait step has nothing after it", "SMS message is empty").
- Turn the Active switch on and click Save.
Handy while you are building: Tidy up tidies the cards into neat rows, Delete or Backspace removes whatever you have selected, and ⌘C / ⌘V copy and paste steps (the starting event cannot be copied).
Turn one off, copy it, or throw it away
- On Settings›Pipeline›Automations, find the row you want.
- The switch at the end of the row turns it on and off. The badge next to the name flips between Active and Paused.
- The copy button makes a duplicate called "name (Copy)". Copies always arrive switched off, so you can rework one safely while the original keeps running.
- The bin button deletes it. You get a warning first, because deleting takes the run history with it and cannot be undone.
How to check it worked
- It saved. A message says "Automation saved" and the orange dot next to the name disappears.
- It is switched on. The row on the Automations list shows a blue Active badge, and the counter at the top of the page ("3 active") goes up.
- Nothing is missing. The strip under the builder toolbar turns green when there are no outstanding items; it stays orange with a count while something still needs fixing.
- It actually ran. The Last activity column stops saying "Never run", the runs count on the row goes up, and the runs today pill at the top of the page increases.
- See the individual run. Open the Activity Log tab. Each row shows Success or Failed, which automation ran, how long it took and when. Click a row to expand it and read the error message and the information the run was working from.
- See who is part way through. The four tiles at the top of the page — Entered workflows, Currently in workflow, Done all steps and Needs review — count people across every automation. Each row has the same numbers just for itself.
Test it on one real record
Create one test lead (or ring in from your own mobile) and watch the Activity Log. That is faster and more honest than reading the canvas, and a failed run tells you exactly which step complained.
Common mistakes
Built, saved, never switched on
Saving and turning on are two separate things. Check the row says Active, not Paused.
A wait with nothing after it
If a wait step is the last card on a branch, everyone who reaches it simply stops there. The Checklist flags this as required.
A filter pointing at an old name
Rename a lead status or service type and any filter still naming the old one stops matching. After a month with no runs the row grows an amber Never run badge — open it and check the filters.
Trying to edit a Default automation
Rows with a Default padlock badge are Joby's built-ins. You can turn them on and off, but to change the wording you copy one first and edit the copy.
- Leaving a card floating. A step that is not joined to anything never runs. The Checklist counts them ("2 steps not connected").
- An empty message. A text step with no wording, or an email with no subject, is caught by the Checklist before it can go out blank.
- Adding a second starting event. One per automation. If you need two different starting points, build two automations — copy the first and change its trigger.
- Expecting "Assign to a Field Worker" to assign an office agent. That step hands the job to a field worker. To tell an office agent about it, use Notify My Team and set Send To to Assigned Office Agent.
- Stacking messages on top of each other. If several automations can fire on the same event, a customer can get three texts in a minute. Put a wait in, or narrow the filters.
- Deleting to "start again". Deleting removes the run history too. Switch it off or copy it instead.

What can start an automation
The left panel groups the starting events by the part of the business they come from. There is a search box at the top — typing "missed call", "reminder" or "signed" is usually faster than scrolling.
Leads & customers
- Lead Created — a new lead is added.
- Lead Status Changed — a lead moves to a different status.
- Lead Assigned — a lead is given to a field worker.
- Assigned Office Agent Changed — the office agent on a lead changes.
- Lead Sub-Status Changed and Callback Status Changed.
- Lead Payment Collected and Lead Closed.
- Lead Start or End Time Changed — the job gets moved to a different time.
- Lead Tag Added / Removed, Client Created, Client Tag Added / Removed.
Calls, texts & email
- Inbound Call Started, Call Completed, Missed Call, Voicemail Received.
- Text Received and Email Received.
Call starting events have their own filters — Call Group Filter, Business Number Filter, Direction Filter and Caller Number Filter — so a missed-call text-back can be limited to one number or one team.
Scheduled times
One card, Lead Start or End Time, covers every "a set time before or after the job" case. You choose a Reference Time (start time, end time, created time or closed time), a Direction (before or after) and an Offset in minutes, hours or days. The card then describes itself on the canvas — "24 hours before Lead start time".
This is about the job itself, not about a booking taken through your online form. Those have their own group below.
Estimates, invoices & documents
- Estimate Status Changed and Estimate Paid.
- Invoice Created, Invoice First Sent, Invoice First Opened, Invoice Status Changed.
- Payment Succeeded and Payment Failed.
- Unpaid Invoice Reminder — fires before, on, or after the due date of an unpaid invoice, at a time of day you choose, and can repeat every few days up to a limit you set.
- Document Created and Document Status Changed (signed, sent, viewed, declined).
Online bookings & tasks
- Online Booking Received, Rescheduled, Cancelled, Completed, No-Show — all from your public booking form.
- Task Created, Completed, Assigned, Priority Changed, Due Date Changed.
Advanced
This group starts collapsed. It holds Webhook Received (another system, such as a website form or Zapier, sends information into Joby and starts the automation) and Report Generated. See the Advanced Workflows guide for those.
Steps you can add
Once a starting event is on the canvas the left panel switches to Add a step, grouped the same way.
Message the customer
Send a Text, Send an Email, and AI Phone Call — our AI voice assistant rings the customer for you and takes a different route depending on how the call went.
Tell my team
Notify My Team, Post to the Team Inbox, Create a Task, Assign to a Field Worker, Create a Callback.
Update the record
Change Status, Set Sub-Status or Notes, Add a Note, Create a Lead, and the four tag steps for leads and clients.
Quotes & marketing
Create an Estimate (with optional AI wording) and Send the Estimate. With Marketing switched on you also get Add to Campaign and Remove from Campaign.
Only if — splitting the path
- Only if… — carry on only when a field matches. Pick an Operator (equals, does not equal, contains, greater than, less than, is empty, is not empty), a Field, and a Value. The fields on offer change to suit the starting event, so an estimate automation offers estimate fields and a client automation offers client fields.
- Only during these hours — carry on only inside a Start Time / End Time window. This is how the after-hours auto-reply works: the No branch is the out-of-hours one.
- Only on these days — carry on only on the days you tick under Active Days.
Two more sit in the collapsed Advanced group: Open Lead Exists? (looks for an open lead by the caller's phone number, so a repeat caller can be treated differently from a brand-new one) and Masked-Call Session.
Waits and send rate
Wait a Fixed Amount of Time
Pause for a number of minutes, hours or days before the next step.
Wait Until Lead Time
Hold until a set time before or after the job's own start or end time — for example "2 hours after the job ends" for a review request.
Wait for a Text Back
Hold until the customer replies, or give up after a Timeout duration. Two routes come out of it: one for a reply, one for the timeout. Set Match mode to Only matching keywords to react only to words like "yes, y, ok".
Slow Down a Big Send
Everyone who reaches this step shares one release budget — say ten an hour — spread evenly (Drip) or let out together each period (Batch). It can also be limited to business hours.
The Advanced group also holds Call a Webhook (send the details on to another system's web address) and AI Process (run some text through AI and use the answer in a later step).
Ready-made automations
Settings›Pipeline›Automations›New Automation opens a gallery of finished automations you can add in one click. They arrive complete with wording and timings, so most people start here and adjust afterwards.
- New Lead Welcome SMS — text every new lead within a minute.
- 24-Hour Appointment Reminder — remind the customer the day before.
- Post-Lead Review Request — ask for a review two hours after the job ends.
- Missed Call Text Back — text every caller you could not reach.
- After-Hours SMS Auto-Reply — tell late-night texters you will reply tomorrow.
- New Lead Follow-up (3-day) — chase a lead that has not moved.
- Estimate Signed Task and Email — start the office work the moment a quote is signed.
- Lead Assigned Bell Alert and Customer Intro — tell the field worker and introduce them to the customer.
- Estimate Signed / Estimate Paid / Invoice Paid / Booking Form Submitted / Document Completed›Notify Admins — five admin alerts.
- Webhook Create Lead — turn form submissions and Zapier data into leads.
The five admin alerts are already set up and switched on for every account. On the list they carry a Default badge with a padlock, their button reads View rather than Edit, and there is no bin button. You can still turn them on and off freely — and if you want different wording, copy one and edit the copy.
Watching your automations
The list page
Above the table are four numbers covering everything you run: Entered workflows (people and jobs that have ever gone in), Currently in workflow (waiting at a delay, a send-rate step, a reply or a scheduled time), Done all steps, and Needs review (something failed). Two pills next to them show runs today and the success rate.
Each row repeats those numbers just for that automation, with a progress bar and a Last activity date. Under the name you get the step count, the total runs, the created date, a short reference you can click to copy, and coloured chips previewing the first six steps. Use Sort by (Updated, Created, Last activity) and the Hide paused switch to tidy a long list.
The Activity Log tab
- Filter by automation, or by Success / Failed.
- Search the run details — a job number, a phone number, a name.
- The list refreshes on its own every few seconds; Refresh forces it.
- Click a row to expand it and read the error, what set it off, and which steps ran in what order.
- Re-fire runs that same automation again against the same record — useful once you have fixed whatever made it fail.
Inside the builder
- Runs opens a panel with Waiting and History tabs and the same four numbers, showing exactly which step each person is sitting at and when they are due to be released.
- Click a wait step and its settings panel lists everyone queued at it, with a bin button to take a single person out of the queue.
- Logs in the toolbar takes you back to the Automations list, where the clock button on the row opens that automation's last 50 runs.

Plan
Automations are part of the Pro plan. Lower plans see an upgrade message in place of the page.
Built-ins
Anyone with access can switch a Default automation on or off or copy it, but nobody can edit or delete the original.
