Set up the notification bell, phone alerts, desktop browser alerts, pop-up confirmations, and sounds so your team sees what matters without being buried in alerts.

What it is
Joby tells your team about new leads, messages, calls, tasks and reminders in five separate places. They are configured separately, so it helps to know which one you are looking at.
1. The bell
The bell button at the top of the screen with a red count on it. Click it for the 50 most recent alerts.
2. The Notifications page
The full history, with date filters. Open it from the bell menu using View All Notifications.
3. Phone alerts
Alerts on the lock screen of the Joby app for iPhone and Android. Set up per person, per device.
4. Desktop browser alerts
Alerts from Chrome, Safari, Firefox or Edge when the Joby tab is in the background. Team chat only.
5. Pop-up confirmations ("Toast Notifications")
The small messages that appear in the corner of the screen to confirm something you just did — "Lead created successfully", "SMS sent successfully". These are set once for the whole company by an admin.
When to use it
- A new office agent joined and is not seeing the bell at all.
- Someone is missing new text messages while they are away from their desk.
- Your team says the screen is too noisy with confirmation pop-ups.
- You want a daily habit of reviewing everything that came in, not just what is unread.
- You want to change which sound plays when a message arrives.
Before you start
- To change company-wide pop-up confirmations you must be an admin or the account owner. The Settings›Admin›Toast Notifications page is hidden from everyone else.
- To see the bell and the Notifications page, a person needs the "Notifications" permission. Turn it on at Settings›People›Team Roles, in the General group.
- Phone alerts need the Joby app installed from the App Store or Google Play.They do not work in a phone web browser.
- Each person sets their own phone and browser alerts. An admin cannot turn them on for someone else.
- Sounds are shared. Changing a sound at Settings›Channels›SMS Configuration changes it for everyone in the company.
Step-by-step
1. Give a person access to the bell
- Go to Settings›People›Team Roles.
- Open the role that person is on.
- In the General group, switch on Notifications.
- Save the role.
Without this, the bell button never appears in their header and the Notifications page is blocked.
2. Set up alerts on a phone
Do this on the phone itself, inside the Joby app.
- Open the Joby app and tap Settings in the bottom bar.
- Under the Settings heading, tap Notifications.
- Next to Enable Push Notifications, tap Enable and accept the phone's permission prompt. When it works, the row changes to a green Enabled badge.
- Leave Push Enabled switched on. This is the master switch for the device.
- Pick a Push Sound: Default, Bell, Chime, Ding or Tri-tone.
- Scroll to Notification Types and switch on only what that person needs (see the list further down).
3. Set up alerts in a desktop browser
- Go to Settings›My Account›Account Settings.
- Find the Browser Notifications card.
- Click Enable and click Allow in the browser's prompt.
- The status under Desktop notifications should read Enabled in this browser.
These alerts fire when someone @mentions you, replies to your message, or reacts to your message in team chat — and only when the Joby tab is not the window you are looking at.
4. Quiet the pop-up confirmations
- Go to Settings›Admin›Toast Notifications.
- Find the category you want to calm down, for example Lead Management.
- Switch off individual messages such as Lead notes saved.
- The change saves immediately and applies to every user in the company.
5. Change the sounds
- Go to Settings›Channels›SMS Configuration.
- Scroll to the Sound Preferences card.
- Use Enable Sounds as the master switch, then pick a sound for Message Sent, Message Received and Notifications.
- Under Internal Chat Sounds, pick sounds for @Mentioned, Reply to Message and Reaction.
Each change saves right away and applies to everyone, so agree on the sounds before you start changing them.
How to check it worked
- Bell access: have the person sign out and back in. The bell should now be in the header, and View All Notifications should open the Notifications page instead of bouncing them to the Dashboard.
- Phone alerts: on the phone, go to Settings›Notifications and tap Test Bell Push. A short result line appears under the buttons showing how many were sent, and the alert should land on the phone within a few seconds.
- Desktop browser alerts: in Settings›My Account›Account Settings, switch to another window, then click Send Test Notification. A Joby CRM alert should appear from the browser.
- Pop-up confirmations: switch one off, then do the matching action. For example, switch off Lead notes saved, then save a note on a lead — no pop-up should appear, and the note should still save.
- History: on the Notifications page, set Date Range to This Week and confirm the alerts you expect are listed with the right Type label.
Common mistakes
"I have no bell at all"
- The role is missing the Notifications permission. Fix it at Settings›People›Team Roles in the General group, then have the person sign out and back in.
"I get nothing on my phone"
- Joby was opened in the phone's web browser instead of the installed app. Install the app from the App Store or Google Play.
- The permission prompt was declined. If the page reads Denied in device settings, allow notifications for Joby in the phone's own Settings app.
- Push Enabled is off, or the specific type — for example Inbound SMS — is switched off under Notification Types.
"The browser Enable button does nothing"
- The button is greyed out once the browser has been told to block Joby. Allow notifications for this address in the browser's own site settings, then reload the page.
- The test alert will not appear while the Joby tab is the window you are looking at. Switch to another window first.
"I cleared the bell and lost my alerts"
- Clear All empties the bell list only. Everything is still on the Notifications page — set Date Range to the right period to find it.
"An alert I know we got is not in the list"
- The Date Range is probably still on Today. Switch to This Week, Last Month or a custom range.
- Only the 500 most recent alerts for the chosen range are shown. If you see the note about 500, tighten the date range.
- If you are not an admin, alerts you dismissed are gone from your list permanently. Ask an admin to look.
"I turned off pop-ups and now nobody sees them"
- Settings›Admin›Toast Notifications is company-wide, not personal. Anything switched off there is off for every user. Agree the list with the team before changing it.
Rollout checklist
- Every role that answers customers has the Notifications permission on
- At least one iPhone and one Android phone have been tested with Test Bell Push
- Desktop browser alerts are enabled for anyone who lives in team chat
- Noisy confirmation pop-ups have been switched off once, for everyone
- Message Received and @Mentioned use clearly different sounds
- Office agents know to check the Notifications page, not just the bell

The bell menu in detail
The bell sits in the header on every page, on desktop and on the phone app. A red circle on the bell shows how many alerts you have not read yet; above nine it just shows 9+.
Click it and you get:
- Your 50 most recent alerts, newest first, updating live as new ones arrive.
- A blue tint and a filled dot on anything you have not read yet.
- How long ago each one arrived, for example "about 2 hours ago".
- Mark Read — marks everything in the list as read. Only shown when you have unread alerts.
- Clear All — clears the whole list out of the bell. The alerts are not deleted; they stay on the Notifications page.
- A trash icon on each row to clear just that one.
- View All Notifications at the bottom, which opens the full Notifications page.
Clicking an alert marks it read and takes you straight to what it is about — the lead, the task, the estimate. Booking request alerts open Settings›Booking Form›Request History. Alerts written by Joby AI carry the small AI mark instead of a plain dot. If an email you sent could not be delivered, that alert also pops up in red on screen so it is not missed.
The Notifications page in detail
Open it from the bell using View All Notifications. The heading shows a count such as 4 unread, and there is a Mark All Read button in the top right.
To narrow the list:
- Quick buttons across the top: Today, This Week, This Month.
- A Date Range dropdown with Today, Yesterday, This Week, Last Week, This Month, Last Month and Custom Range. Choosing Custom Range gives you a From and To date picker.
The table shows five columns:
- Type — a coloured label: task, lead, appointment, call, workflow or system.
- Notification — the headline and the detail line.
- Date — the exact date and time it arrived.
- Status — Unread or Read, plus a Dismissed label where it applies.
- Actions — an arrow icon to open the related record, a tick icon to mark it read, and a trash icon to dismiss it.
Clicking anywhere on a row does the same as the arrow icon: it marks the alert read and opens the record.
Who sees dismissed alerts
Admins and the account owner keep seeing dismissed alerts in the list with a Dismissed label. For everyone else a dismissed alert disappears from the list for good.
The page shows the 500 most recent alerts for the range you picked. If there are more, a note appears next to the count telling you to narrow the date range. On a phone you can pull down on the list to refresh it.
Phone alerts in detail
Phone alerts work in the Joby app for iPhone and Android, downloaded from the App Store or Google Play. They do not work if you open Joby in a phone web browser — that case shows the browser alert card instead, with a note telling you to install the app.
On Settings›Notifications inside the phone app, the Notification Types card has a switch for each of these:
- Inbound SMS — new text messages
- Notification Bell — app alerts and reminders
- Internal Chat Messages — all new messages from other agents
- Internal Chat Mentions — when someone @mentions you
- Internal Chat Reactions — when someone reacts to your message
- Internal Chat Replies — when someone replies to your message
- New Emails — when a new email arrives in your inbox
- Support Messages — when Joby support replies to you
The same page has test buttons so you can prove each type works without waiting for a real event: Test SMS Push, Test Bell Push, Test Chat Msg, Test Mention, Test Reaction, Test Reply, Test Email and Test Support. There is also a plain Send Test Notification button that fires an alert from the device itself. The test buttons stay greyed out until you have tapped Enable and accepted the phone's permission prompt.
Two switches have to line up
The phone's own notification permission for Joby has to be allowed, and the settings inside Joby have to be on. If the phone shows Denied in device settings, fix that in the phone's own Settings app first — Joby cannot re-ask once it has been denied.
On iPhone, the red number on the Joby app icon counts unread conversations and missed calls, so it will not always match the number on the bell inside the app.
Desktop browser alerts in detail
The Browser Notifications card works in Chrome, Safari, Firefox and Edge. It appears in two places: Settings›My Account›Account Settings, and on the notification settings page when you are using Joby in a browser rather than the phone app.
The status line under Desktop notifications tells you exactly where you stand:
- Enabled in this browser — working
- Not enabled yet — click Enable
- Blocked — unblock in browser site settings — you or someone else clicked Block. Joby cannot ask again; you have to allow it from the browser's own site settings for this address.
- Not supported in this browser — use a different browser
There is a Send Test Notification button. Switch to another window before you click it — these alerts deliberately do not show while the Joby tab is the one you are looking at.
These alerts cover team chat only: @mentions, replies to your messages, and reactions to your messages. For everything else on a desktop, use the bell.
Pop-up confirmations in detail
Settings›Admin›Toast Notifications controls the small messages that appear in the corner of the screen when something succeeds. The page heading is Toast Notification Settings, and it says plainly that the settings apply to all users — this is a company-wide page, not a personal one.
Each switch is one message, grouped into categories:
- Lead Management, Import/Export, Communication
- Estimates, Appointments, Phone System
- Workflows, Tasks, Clients/Contacts
- Blocked Numbers, Service Areas, Service Plans
- Settings, Data Operations, Form Fields, Notifications
Errors always show
Switching things off here only hides success messages. Error messages and "please fill this in" warnings always appear, no matter what you set.
There are no sound settings on this page and no per-person settings. If someone wants quieter pop-ups just for themselves, that is not something Joby offers today — the choice is company-wide.
Sounds in detail
All in-app sounds live in one place: Settings›Channels›SMS Configuration›Sound Preferences. Despite the page name, this card covers more than text messages.
- Enable Sounds — master switch; turning it off hides the rest
- Message Sent — plays when you send a message
- Message Received — plays when a message comes in
- Notifications — general alert sound
- Internal Chat Sounds — separate choices for @Mentioned, Reply to Message and Reaction
The choices are Pulse, Pop, Swoosh, Ding, Chime, Note, Bell, Tri-tone and Popcorn. The sound for alerts on a phone is separate and is chosen per device under Push Sound in the phone app.
Keep the sounds different
Give Message Received and @Mentioned clearly different sounds. If everything sounds the same, people stop reacting to any of it.
