    What it is

    Joby CRM is a free app for iPhone and Android. It is the same Joby account you use in a web browser, on a screen built for a phone: the same jobs, the same customers, the same messages and the same phone numbers. Nothing extra to buy — it is included with every plan.

    What you can open in the app is exactly what your admin has given your role access to on the web, so two people on the same team can see a different set of tabs.

    When to use it

    • Field workers — see today's jobs, drive to them, call or text the customer, send an "On my way" message, take photos, clock in and out.
    • Office agents on the move — answer customer texts and calls away from the desk, check a job, log a callback.
    • Owners and managers — keep an eye on the day, get alerted to new leads and messages, approve or review work from anywhere.
    • Taking payment at the door — on iPhone, collect a card payment by tapping the customer's card or phone to yours.

    Stay on the web version for wide, heavy work: importing spreadsheets of leads, building workflows, designing estimate templates, and most admin setup screens are far easier on a laptop.

    Before you start

    • A Joby CRM login. New accounts are created on the Joby website, not inside the app — the app's sign-in screen is for people who already have a login. If you are new, ask your admin to add you first.
    • Your role's access. Tabs you don't have permission for simply won't appear. An admin sets this on the web under Settings›People›Team Roles.
    • An iPhone or Android phone with an internet connection. The app needs to be online — it is a live view of your company's data, not a copy stored on the phone.
    • Permission prompts. The app will ask for notifications (alerts), the microphone (calls), the camera (photos) and location (arrival times, time clock). You can allow them when asked or later in your phone's own Settings app.
    • For Tap to Pay on iPhone: an iPhone XS or later on a recent version of iOS, with a passcode set and signed in to iCloud, and your Joby payments account connected.

    Step-by-step: install and sign in

    1. Open the App Store (iPhone) or Google Play (Android) and search for Joby CRM. Tap Get / Install.
    2. Open the app. On the sign-in screen, enter your email and password and tap Sign In, or use Continue with Google or Continue with Apple if that is how you sign in on the web.
    3. When the phone asks "Joby CRM would like to send you notifications", tap Allow. This is what makes new texts and alerts reach you.
    4. The first time you make or take a call, allow microphone access.
    5. Check the row of tabs along the bottom. Tap Settings (the last tab) → Notifications and confirm the top of the page shows Enabled.

    💡 Tip: If you belong to more than one company in Joby, tap Settings → the Companies card at the top and pick the company you want to work in. A checkmark shows the one you're in now.

    How to check it worked

    1. You're signed in to the right company. Open the Settings tab — the card at the top names your current company.
    2. Alerts are on. Settings›Notifications shows the green Enabled badge and Push Enabled is switched on.
    3. Alerts actually arrive. On the same page, tap Test SMS Push (or Test Bell Push). A notification should appear on your phone within a few seconds and the page reports how many were sent. Send Test Notification checks your phone's alert settings on their own.
    4. Calls reach you. Ask a coworker to call your company number while the app is closed. Your phone should ring with the incoming call screen.
    5. Data is live. Pull down on the Leads tab; a job someone just added on the web should appear.
    6. Tap to Pay is ready (iPhone only). Settings›Tap to Pay on iPhone shows the green Ready badge.

    Common mistakes

    "I tapped Don't Allow on notifications and now I get nothing"

    Once the phone's prompt has been declined, the app can't ask again. Open your phone's own Settings app → Joby CRM → Notifications and turn them on there, then return to Settings›Notifications in Joby and send a test.

    "Some alerts come through, others don't"

    Check the Notification Types switches — each kind can be turned off separately — and make sure the Push Enabled master switch is on. Both live under Settings›Notifications.

    "A tab is missing"

    Tabs and menu rows are hidden when your role doesn't have access to them, and a few (Billing & Plan, Company Info) are admin-only. Ask your admin to check your role under Settings›People›Team Roles on the web.

    "The app doesn't work in a dead zone"

    The app shows live company data and needs an internet connection. It does not keep a copy of your jobs for offline use, and work started with no signal is not queued up to send later. In a known dead zone, open the job and note the details before you lose service.

    "I got signed out"

    Leaving the app closed for a long stretch (about a day) signs you out for security. Just sign in again. Logging out on purpose also removes this phone from the alert list, which is exactly why you stop getting notifications after logging out.

    "Calls don't connect"

    Make sure microphone access is allowed for Joby CRM in your phone's Settings app, and that you have a working data connection. A Phone unavailable message means the app is still reconnecting — if it persists, close the app fully and reopen it.

    "Tap to Pay won't set up"

    It is iPhone-only and needs an iPhone XS or later on a recent version of iOS, with a passcode and iCloud signed in. Only an owner or admin can accept Apple's terms for the business — if you are not one, ask an admin to run the setup once.

    "The customer replied to my personal phone"

    Use Message inside Joby rather than your phone's own messaging app. Only messages sent through Joby go out on your company number and stay attached to the job.

    The tabs along the bottom

    Everything in the app is reached from five tabs at the bottom of the screen. Tabs your role can't open are hidden, so you may see fewer than five.

    Home

    Your dashboard — today's numbers and shortcuts.

    Chat

    Customer conversations. A red number shows how many threads are unread.

    Phone

    The dialer — keypad, recent calls and the active call screen.

    Leads

    Your jobs. If your company renamed "Leads" to something else, that word appears here instead.

    Settings

    Everything else — search, company switching, and the rest of the menus. See the next section.

    Tapping the tab you are already on takes you back to that tab's main screen — for example, tapping Chat while a conversation is open closes it and returns you to the list.

    Inside the Settings tab

    The Settings tab is the app's full menu. A search box sits at the top — type at least three characters of a name, phone number or job number to jump straight to it. Below that, rows are grouped. You only see the rows your role can open:

    • Companies — switch between companies you belong to (only if you belong to more than one).
    • Quick Actions — Dashboard, Tasks, Time Clock.
    • Communication — Email Inbox, Calls, SMS History, Callback Tickets.
    • Management — Clients, Booking Form, Estimates, Invoices, Work Orders, Documents, and the industry add-ons your company uses (Auto Transport Estimates, Auto Transport Calculator, Garage Door Estimates).
    • Reports & Payments — Commission Report, Lead Report, Time Tracking Report, Payments.
    • Settings — Billing & Plan, Integrations, Notifications, Company Info, Account Settings, and Tap to Pay on iPhone.
    • Preferences — Help Center, which opens the support chat.
    • Mode — switch between light and dark.
    • Account — Log Out.

    ⚠️ Note: Billing & Plan and Company Info only appear for admins. If you can't find them, you are not set up as an admin on this company.

    Notifications on your phone

    Go to Settings›Notifications. The top card, Mobile Summary, controls this device:

    • Enable Push Notifications — tap Enable to ask the phone for permission. Once granted it shows a green Enabled badge.
    • Push Enabled — the master switch. Turn it off and nothing is delivered to your phone, no matter what the individual switches say.
    • Push Sound — choose Default, Bell, Chime, Ding or Tri-tone.

    The Notification Types card below turns each kind of alert on or off: Inbound SMS, Notification Bell (app alerts and reminders), Internal Chat Messages, Internal Chat Mentions, Internal Chat Reactions, Internal Chat Replies, New Emails and Support Messages.

    Where a notification takes you

    • A customer text opens that conversation.
    • A team chat message, mention, reaction or reply opens the team chat panel.
    • A new email opens the Email Inbox.
    • A reply from Joby support opens the support chat.
    • Alerts about a job or a reminder open that job or task directly.

    The red number on the app icon

    On iPhone, the badge on the Joby CRM icon adds up your unread customer conversations, unread bell alerts, unread team chat messages and missed calls. It clears itself as you read things, and it disappears when you log out.

    Calls on your phone

    The app registers your phone for your company's business numbers as soon as you sign in, so calls reach you whether the app is open or not.

    • On iPhone, an incoming work call rings on the normal iPhone call screen. You can answer or decline it straight from the lock screen, and it appears in the iPhone's Recents list afterwards.
    • On Android, an incoming work call arrives as a call notification you tap to answer.
    • To place a call, open the Phone tab, or tap Call on a job or a customer record.
    • Calls keep running while you switch to another app or lock the screen.

    If you ever see a Phone unavailable message, the app lost its connection to the calling service — it keeps retrying on its own. If it does not clear, close the app fully and open it again.

    Your day in the field

    On a phone, the Leads tab's Day view is a plain list of the day's work instead of an hour grid — one card per job, task or extra trip, in time order. Each card shows the time, the customer, the job type and status, the address and who it's assigned to.

    • Call — dials the customer on your business number.
    • Message — opens that customer's text thread inside Joby, so the reply comes back to the company, not to your personal phone.
    • Route — opens driving directions to the job address.
    • Tap the card itself to open the full job.

    If the day is empty, the card offers Next up with your next scheduled day so you don't have to page through the arrows.

    Telling a customer you're on the way

    1. Open the job and tap On my way.
    2. The app shows you the exact text before anything is sent. If you are the assigned worker and you allow location, it also works out your arrival time from current traffic and includes it.
    3. Tap send. You'll get a confirmation like "Customer notified — about 20 minutes out."

    No arrival time is added if you're sending on someone else's behalf, if the job has no map location, or if the phone couldn't get a location — the message still goes out, just without an ETA. The wording comes from your company's templates under Settings›Pipeline›Communication Templates on the web.

    Time clock and location

    Tap Settings›Quick Actions›Time Clock, then Clock In. Tap Clock Out when you finish. Your location at that moment is saved with the entry as proof of where the shift started and ended.

    If your admin has turned on live location tracking for you, the app also updates your position while you are clocked in — including while the app is in the background — so the office can see where the team is. You are shown a disclosure and have to accept it the first time, tracking only runs between clock in and clock out, and it is a paid add-on your admin enables per person under Settings›People›Time Tracking on the web.

    Tap to Pay on iPhone

    On a supported iPhone you can take a contactless card, Apple Pay or another digital wallet by having the customer hold their card or phone to yours — no card reader.

    1. Go to Settings›Tap to Pay on iPhone.
    2. Tap Set up Tap to Pay on iPhone. Apple's terms appear the first time — only an owner or admin can accept them for the business.
    3. Wait for setup to finish. The first time can take a minute or two, and a progress bar shows how far along it is.
    4. When the card shows Ready, open any invoice, estimate or job and choose Collect.
    5. How Tap to Pay on iPhone works on the same page replays the short how-to whenever you want it.

    You need an iPhone XS or later on a recent version of iOS, a passcode set, iCloud signed in, your payments account connected, and an internet connection at the moment you take the payment. This feature is iPhone-only — it does not run on Android, and the web page for it is reference only.

    Photos, files and everyday gestures

    On a job's Documents tab, Photo opens the camera and attaches the shot to the job. Upload picks an existing file. Up to 25 MB each.

    Pull down to refresh

    Drag down from the top of a list — Leads, Clients, Tasks, Calls, Estimates, Invoices, Work Orders, Payments, Time Clock and the reports — to reload it.

    • A short buzz confirms taps that matter — switching tabs, completing an action — so you know it registered without staring at the screen.
    • New records are created with the New button in the header of the page you're on (for example the Leads tab).
    • Help, the bell and team chat sit as small icons in the header at the top of the Home, Chat and Leads screens (only the ones your role can use).
    • The app updates itself. Improvements arrive quietly in the background and are there the next time you open it — you don't have to reinstall or watch for an update in the store.
