SMS & Conversations
Send and receive text messages from the Conversations inbox — starred replies, saved templates, attachments, scheduled texts and the Joby AI writing helper — and look up any text you have ever sent on the SMS History page.
What it is
Texting in Joby lives in two places, and they do different jobs.
Conversations
Your team inbox. One thread per customer, with their texts, calls, voicemails and emails all on the same timeline. This is where you read and reply.
SMS History
A plain list of every single text, newest first, with who it went to and whether it arrived. This is where you check up on a message, not where you reply.
Both live in the left menu under Today: Today›Conversations and Today›SMS History. On a phone, Conversations is the Chat tab in the bar along the bottom, and SMS History sits under the More tab.
When to use it
- Answering a customer who just texted you, and keeping the whole back-and-forth in one place.
- Sending an appointment confirmation, an "on my way" note, or a follow-up after a quote.
- Sending a photo, a quote or a document to a customer's phone.
- Writing a text now but having it go out at a sensible hour tomorrow.
- Checking whether a text actually reached someone before you accuse them of ignoring you.
- Pulling a month of texts into a spreadsheet for a manager or a dispute.
Use Bulk SMS instead when you want to text a whole list of people at once — Conversations is for one customer at a time. Use Emails when you need attachments, formatting or a paper trail longer than a text.
Before you start
- Your business has to be approved to send texts. Mobile carriers require every business to register before its texts will be delivered in the United States. The owner completes this under Settings›Phone Registration. Setup takes about five minutes and approval usually takes two to five days. Until it is approved you will see a banner across the top of the app saying SMS is paused, and texts will not go out.
- You need at least one phone number. Buy or connect one under Settings›Phone Numbers.
- Pick the number texts are sent from. An owner or admin sets this under Settings›SMS Configuration (see Choosing the sending number below).
- Your role needs access. Under Settings›Team Roles, in the Communication group, the switches are called Conversations and SMS History. Without them the menu items are hidden.
Step-by-step
Reply to someone who texted you
- Open Today›Conversations.
- Click the Unread button above the list to see only threads nobody has answered yet. The number in brackets is how many are waiting.
- Click a thread on the left. The whole history with that person opens on the right.
- Type your reply in the box at the bottom and click the round send button (the paper plane). On a computer you can also just press Enter — hold Shift and press Enter if you want a new line instead.
The grey chip above the typing box says From: followed by the number the text will be sent from, so you can always see which of your numbers the customer will see.
Start a brand new text
- Open Today›Conversations.
- Click the round pencil button (New message) to the right of the search box at the top of the list.
- In the To box, search for a contact by name, or just type a phone number.
- Type your message and send.
You can also start a text straight from a record: the little speech-bubble button labelled Send SMS next to a phone number on a lead or a client opens the thread for that number.
Use a saved reply
Above the typing box there is a row of shortcut buttons. Your starred templates appear there as one-click buttons, and the Templates button next to them opens the full list grouped into categories. Clicking one drops the text into the box — it does not send anything, so you can still edit it first.
Starring a template
Open Templates, expand a category, and click the star next to a template. Starred templates become one-click buttons in the typing area for everyone on your team. Star the four or five you use every day and leave the rest in the list.
To create one on the spot, click Templates›Create template, give it a name and a category, and click Save & use — it is saved and dropped into your message in one go. To edit, rename or reorganise templates properly, go to Templates›Manage templates, which opens Settings›Communication Templates.
Fill in customer details automatically
A template can carry placeholders that Joby swaps for the real customer's details when you pick it. They look like this:

There are many more, including your own custom fields. Rather than memorising them, open Settings›Communication Templates and pick them from the list while you write the template. Placeholders only fill in when the thread is linked to a job — in a thread from an unknown number they stay as written, which is why you should always read a template before pressing send.
Attach a photo or a file
- Open the thread.
- Click the paperclip button next to the typing box.
- Choose one or more files. A small preview appears above the typing box.
- Type a message if you want one, then send.
Photos and videos arrive as a picture message on the customer's phone. Anything else — a PDF quote, a document — is uploaded and sent as a download link added to the bottom of your message. Files must be 20 MB or smaller; anything bigger is refused with an Attachment too large message. To remove a file before sending, hover its preview and click the small red x.
Schedule a text for later
- Type the message as normal.
- Click the clock button next to the typing box.
- Pick a date and time, then confirm. The default is the top of the next hour.
Scheduled texts use your company's time zone, not your laptop's. Anything waiting to go out appears in a small bar just above the typing box with its send time. Click the x on that bar to cancel it. If it has already gone out you will see Message already sent instead — nothing is quietly cancelled behind your back. If a scheduled text fails, it stays in that bar with a warning icon until you dismiss it.
Let Joby AI write or tidy the message
The Joby AI button above the typing box has three options:
- Write SMS reply — drafts an answer based on the conversation so far.
- Correct spelling — fixes typos and grammar in what you have typed.
- Write it better — rewrites your draft in a more professional tone.
The result lands in the typing box for you to read and edit. Nothing is sent automatically. The button only appears if your role has AI Helper (Conversations) switched on under Settings›Team Roles.
Switch between text and email
If the contact has an email address on file, a small two-button switch appears at the left of the typing box: a speech bubble for Send via SMS and an envelope for Send via Email. Switching to email adds the From, Reply-To, Subject and Cc boxes above your message. The switch is hidden when there is no email address to send to.
Tidy up your inbox
Once a conversation is finished, click Archive at the top right of the thread. It leaves your inbox but stays fully searchable — click the Archived button above the list to see archived threads, and Unarchive to bring one back. Every archive action shows an Undo option in case you clicked the wrong row.
How to check it worked
Joby tells you what happened to a text in three places.
- In the thread. Under each message you send you will see one tick (handed to the carrier), two ticks (delivered to the phone), or a red Failed label. The line also shows who sent it, or Sent from automation if an automation did.
- On the SMS History page. Open Today›SMS History, type the customer's number into Search by phone..., and set the date box to the right period. The Status column shows delivered, sent, received, queued or failed for each message.
- By replying. When the customer answers, the thread jumps to the top of the Conversations list with an unread badge, and the badge in the left menu goes up.
A quick sanity check for a new setup: send yourself a text from a customer thread, confirm it arrives on your own phone, reply to it, and confirm your reply shows up in Conversations within a few seconds.
Common mistakes
"Nothing sends and I do not know why."
Almost always the carrier registration is not finished. Check Settings›Phone Registration — if it says the carriers declined it, fix the feedback shown there and resubmit.
Assuming the customer ignored you.
Check SMS History first. A failed status means the message never arrived — usually a wrong or disconnected number, not a rude customer.
Sending a template with the placeholders still in it.
Placeholders only fill in when the thread is linked to a job. In a thread from an unknown number the customer will literally receive {{Lead.first_name}}. Read the message before you press send.
Texting from a different number every time.
Customers save the number you first texted them from. If your service-type rules keep switching numbers on the same customer, their replies land in a thread nobody is watching. Keep one number per service line and leave it alone.
Blaming Joby for a blocked number.
If one specific person never gets anything, check Settings›Blocked Numbers — somebody may have blocked them.
Using SMS History as an inbox.
You cannot reply from SMS History. It is a read-only log. Replies happen in Conversations.

If texts are failing, work through it in this order: Settings -> Phone Registration, then Settings -> SMS Configuration, then Settings -> Blocked Numbers, then the exact number on the SMS History page.

Filtering your inbox
The row of round buttons above the conversation list narrows what you are looking at. Click one to switch it on, click it again to switch it off, and use Clear at the end of the row to reset everything.
- SMS Only — hides calls and emails so you only see texting. The button changes to All while it is on.
- Unread (n) — only threads waiting for a reply. The count is your whole inbox, not just what is on screen.
- Mark All Read — appears next to Unread while that filter is on, and clears the ones currently listed.
- Field Workers — threads with your field staff rather than customers.
- Clients — only threads with saved clients.
- Voicemail — threads containing a voicemail.
- Archived — the threads you have put away.
The search box at the top of the list searches names, numbers and the text inside messages. Very large searches are capped at the 500 most recent matches, and Joby tells you when that happens.
An owner or admin can hide any of these buttons for a role under Settings›Team Roles›Inside Conversations. Archiving is a separate switch in the same place, so you can let a role see the archive without letting them archive things.
What else is on a thread
A thread is not only texts. Joby puts everything about that contact on one timeline so you are never guessing what happened last.
Calls and voicemails
Calls to and from this number appear in the same timeline, and voicemails show their written transcript so you can read them without listening.
Emails
Emails with the same contact appear inline, and inbound ones have a Reply button right there.
There is a Call button at the top right of every thread that dials the contact without leaving the page.
Under a message, Joby looks for a job it recognises. If it finds one you get an Edit Lead button with the customer's name next to it. If the number is new, you get a New Lead button that opens the new-job form pre-filled with what it could read from the message — this is how you turn a cold text into a job without retyping anything.
Threads marked INTERNAL in orange are Joby's own notifications to your team, not customer conversations. They have no typing box because there is nobody to reply to.
The SMS History page
Today›SMS History is a straight list of individual messages rather than threads. It opens showing Today by default.
What you can do there:
- Search by phone. Type a number into the search box to see every message to or from it.
- Choose a period. The date box offers Today, Yesterday, This Week, Last Week, This Month, Last Month, This Year, Last Year, All Time, or Custom Range with a start and end date.
- Read the table. Columns are Direction, From, To, Message, Segments, Status and Date. Segments is how many text messages your message was actually charged as — long messages are split into several.
- Export to CSV. The button at the top right saves everything matching your current search and date range as a spreadsheet.
- Call back. On a phone, each card has a phone button that opens the dialer with that number.
Admins also see counters across the top for Total, Inbound and Outbound for the period you have selected.
There is no status or direction filter here
The page filters by phone number and date only. If you need to pull out just the failed ones, export to CSV and sort the Status column in your spreadsheet.
Choosing the sending number (owners and admins)
Go to Settings›SMS Configuration. There are three things on that page.
- Default SMS Number — the number used when nothing more specific applies. Pick it from the list and click Save. Field workers are always texted from this number.
- Service Type SMS Numbers — a number per service type. If the customer has a job of that type, Joby texts them from the matching number. Your service types come from Settings›Service Types, so set those up first.
- Sound Preferences — the sounds everyone in your organisation hears for Message Sent and Message Received, plus a master Enable Sounds switch. Each sound has a play button so you can preview it before saving. These apply to the whole team, not just you.

Being told about new texts
- In the app. New messages appear in the thread as they arrive, the thread moves to the top of the list, and an unread badge appears on it and on the left menu.
- Sound. Joby plays a sound when a text arrives while you are on another page. The sound and the on/off switch are in Settings›SMS Configuration›Sound Preferences.
- On your phone. If you use the Joby iPhone or Android app, new texts can pop up on your phone. In the app, open More›Notifications, tap Enable next to Enable Push Notifications, leave Push Enabled switched on, and pick a Push Sound. There is a Test SMS Push button on the same screen to prove it works. Tapping the alert opens the conversation.
Desktop browser alerts are not for texts
The Browser Notifications card in Settings›Account Settings covers team chat mentions and replies only. For alerts about customer texts away from your desk, use the phone app.
Who can do what
All of this is set per role under Settings›Team Roles.
- Conversations (Communication group) — see and use the inbox at all.
- SMS History (Communication group) — see the message log.
- AI Helper (Conversations) (General group) — show the Joby AI button in the typing area.
- Inside Conversations — a separate card listing each filter button (SMS Only, Unread, Field Worker, Clients, Voicemail, Archived) plus Archive / unarchive conversations. These are on by default for anyone with Conversations access; an admin turns one off deliberately.
Anyone can hide the Conversations or SMS History menu items just for themselves from the Sidebar tabs card in Settings›Account Settings. That is a personal tidy-up, not a permission.

Setting your team up
- Carrier registration finished and approved under Settings -> Phone Registration
- Default SMS number saved, and a number set for each service type
- Your five most-used templates written and starred
- Everyone knows Conversations is for replying and SMS History is for checking
- Anyone on call has the phone app installed with push notifications tested
Changing sending numbers later
Tell your office agents before you change which number a service type sends from, and send one test text on each service line before a busy morning. Customers reply to the number they were last texted from.
