    What it is

    Joby AI is a chat assistant that lives inside Joby. You open it with the sparkle button in the top bar (next to the bell and the light/dark switch — hover it and it says Joby AI), ask a question in plain English, and it looks the answer up in your own account.

    It can read your leads, appointments, tasks, calls, estimates, invoices, payments, service plans, clients, field workers and team members. It can also do things for you — create a task, book an appointment, start a draft estimate, update commission on a job, or send a follow-up text — and it always asks you to confirm before it does.

    Sparkle button (top bar)

    Opens and closes the chat. On a computer the chat docks to the right of the screen; on a phone it slides up from the bottom.

    Grey lines above each answer

    Each line names what it just checked — "Searched leads", "Checked invoices". Click a line to see the exact numbers it read.

    Confirm buttons

    Before anything is created or sent you get Yes, Confirm or Approve & Send, plus Cancel.

    Open in Joby card

    When it finds or creates a record, a small card appears with buttons that jump straight to that estimate, invoice, task or appointment.

    When to use it

    • You want a number fast and don't want to build a report — "how many jobs did we close last week?"
    • You're on the phone and need today's schedule, a customer's history, or an unpaid balance in one line.
    • You need to create something small while you talk — a task, an appointment, a draft estimate.
    • You want to text one customer, or send the same follow-up to every lead in a status.
    • You want to know who you already messaged before you start another round of follow-ups.
    • You have a question about your own prices, warranty or policy and you've saved that in Business Knowledge.

    It is not the right tool for editing many records at once, or for anything you need a printable report for. Use the Leads page and the reports for that.

    Before you start

    1. Your plan must include Joby AI

    Joby AI is a Pro feature. It works on Pro, Growth and Enterprise plans, and during your free trial. On Starter the sparkle button still appears, but clicking it opens an upgrade window instead of the chat.

    2. Your role must have Joby AI turned on

    An admin sets this in Settings›People›Team Roles. Open the role, find the General group, and switch on Joby AI. If it is off, the sparkle button does not appear at all.

    3. Optional — teach it about your business

    To let it answer questions about your own pricing, policies and service areas, add that material in Settings›Connections & AI›Joby AI Hub›Knowledge. Without it, Joby AI only knows what is in your records.

    💡 Good to know: Joby AI can only reach the parts of Joby your role can already open. If your role has no access to Commission Reports, it will politely tell you it can't look commissions up and suggest asking an admin — it will not work around your permissions.

    Step-by-step: your first question

    1. Open any page in Joby — Leads, Calls, the Dashboard, it doesn't matter.
    2. Click the sparkle button in the top bar. The chat opens beside your work and stays open while you keep clicking around.
    3. You'll see "What can I help with?" and four suggested questions. Click one, or type your own in the box at the bottom (it says Ask Joby AI anything…).
    4. Press Enter to send. Use Shift + Enter for a new line. A single message can be up to 5,000 characters.
    5. Watch the grey lines that appear above the answer — they name each thing it checked, and turn into a tick when that step is done.
    6. If it asks you to confirm something, use the buttons under the message: Yes, Confirm (or Approve & Send for a text message), Cancel, or Edit to change the wording first.
    7. When it finds or creates a record, an Open in Joby card appears. Clicking a button there closes the chat and takes you to that record.
    8. To stop a long answer part-way, click the square stop button where the send arrow normally sits.
    9. Drag the left edge of the chat to make it wider or narrower (roughly 300–700 pixels).

    On a phone: the chat opens as a full-height panel that slides up from the bottom. Everything works the same — the suggestions, the confirm buttons and the history are all there.

    How to check it worked

    • The answer finished. The stop button turns back into the send arrow, and the blinking cursor at the end of the text disappears.
    • Check its work. Click any grey line above the answer to expand it. You'll see exactly what was asked for and the figures that came back — including the date range it used.
    • Check the record itself. Use the Open in Joby buttons, or go to the page directly: a new task shows on Tasks, a booking on Appointments, a new draft on Estimates.
    • Check a text actually went. Open the customer in Conversations — a sent message appears in the thread. If Joby AI only described a message and you never pressed a confirm button, nothing was sent.
    • Check your usage. Go to Billing›Usage. Chat messages are counted as Joby AI Chat, one per message you send.
    • On a trial, a small "N left" badge sits next to the Joby AI title in the chat header and drops by one each time you send.

    Common mistakes

    "Nothing was sent / created"

    Joby AI never sends or creates without your approval. If you read the draft but didn't press Approve & Send or Yes, Confirm, nothing happened. Ask it again and press the button.

    "I don't see the sparkle button"

    Your role doesn't have Joby AI switched on. An admin turns it on in Settings›People›Team Roles›General›Joby AI. It appears for you as soon as they save — refresh the page if it doesn't.

    "It says it can't check that"

    That's a permission boundary, not a bug. Your role can't open that part of Joby, so Joby AI can't either. Ask an admin to grant the matching permission.

    "The number looks wrong"

    Expand the grey line above the answer and read the date range and filters it used. "This week" starts Monday, and some lead figures are counted by the date a job closed rather than the date it came in. Ask again with an explicit date range if in doubt.

    "It won't send the rest of my campaign"

    There is a cap of 100 text messages per day for the whole company through Joby AI. Once you hit it, it tells you how many were sent and asks you to continue tomorrow.

    ⚠️ Careful: the bin icon on the History screen is Delete all conversations — it clears your whole chat history and cannot be undone. To remove just one, hover that conversation in the list and use its own bin icon.

    What you can ask

    Ask in normal English. When you start a new chat, four suggestion chips appear. Hover one and a small ✕ shows up — click it to swap that chip for the next suggestion. Dismissed chips come back the next time you open Joby in a fresh browser session. The six built-in suggestions are:

    • Leads this week — new versus closed, revenue, and the top service types
    • Today's appointments — everything booked for today
    • My open tasks — tasks assigned to you that are still open
    • Today's calls — how many calls came in and went out today
    • Draft an estimate — starts a draft estimate through the chat
    • Field worker performance — how each field worker did this week

    Other things people ask every day:

    • "Which city do most of our leads come from this month?"
    • "Which ad source converts best?"
    • "What invoices are past due?"
    • "Who on the team handled the most leads last week?"
    • "Which leads in Follow Up did we already text?"
    • "Text everyone in Follow Up from last month asking if they still need us."

    💡 Tip: if your company renamed "leads" or "field workers" to something else, the suggestions and the answers use your words automatically.

    What Joby AI can look up

    Each of these matches a page you already use, so the numbers line up with the reports your team reads:

    • Leads — search them, count them by status, or pull the full Lead Report list with filters
    • Statistics — revenue, breakdowns by job type, ad source, city, state or service area, team and field-worker performance, and conversion by ad source
    • Commission Report — commissions, earnings and payouts by field worker
    • Appointments — what's booked, and when
    • Tasks — open and completed
    • Clients — find a client record
    • Calls — call history and daily call totals
    • Estimates — look up an estimate and its details
    • Invoices — due, past due, paid and unpaid balances
    • Payments — money collected, including payments linked to an invoice
    • Service plans — members, statuses, visits and recurring value
    • Field workers and team members — who they are and how they're doing
    • SMS history — which leads have already been texted, so you don't message the same person twice
    • Business Knowledge — the documents, links and notes your admin saved in the Joby AI Hub

    You only get the lookups your role allows. Someone without access to Payments simply won't get payment answers.

    What Joby AI can create and send

    Every item here asks for your confirmation first:

    • Create a task
    • Book an appointment
    • Create a draft estimate — it splits the job into separate lines for products, labour and services, each with its own description, quantity and price
    • Send a text to one customer or one field worker
    • Send texts to several people at once — up to 20 in one go
    • Send a text campaign to every lead matching a filter (a status, a date range, or a list of lead numbers). The message can include {first_name}, {ad_source} and {job_type}, which are filled in per person
    • Update commission on one or more jobs — a percentage, a custom percentage, or a fixed amount

    ⚠️ Text message limits: Joby AI can send at most 100 text messages a day for your whole company, and the count resets at midnight UTC. For a big send it shows you three sample messages and the total number of people first, so you can check the wording before you approve.

    Approving actions

    When Joby AI wants to do something, it stops and shows you exactly what it plans to do — the recipient, the full message text, or the estimate lines. Buttons appear under that message:

    • Yes, Confirm — go ahead (creating a task, an appointment, an estimate, a commission change)
    • Approve & Send — go ahead with a text message
    • Cancel — stop, nothing happens
    • Edit — for texts, ask it to reword the message before sending

    You can also just type "yes", "no" or a correction. The buttons are only a shortcut.

    Chat history and panel controls

    The small buttons along the top of the chat panel do this:

    New chat

    Starts a fresh conversation. The old one is saved, not lost.

    Conversation history

    Lists your past chats with the time they were last used. Click one to carry on where you left off.

    Mute / unmute sounds

    Turns the small typing and completion sounds off. The choice is remembered on that device only.

    Close Joby AI

    The ✕ closes the panel. Nothing is lost — reopen it and your conversation is still there.

    Inside the history list, hover a conversation to reveal its bin icon and delete just that one. The bin icon in the header deletes all of them. If you scroll up to re-read an older answer while a new one is being written, a Jump to latest button appears so you can get back down.

    Joby AI in Conversations (writing help)

    When you're replying to a customer in Conversations, there's a small Joby AI button with a wand icon just above the message box. Click it for three options:

    Write SMS reply / Write email reply

    Reads the conversation so far and drafts a reply for you. The wording changes to "email" when you're on the email tab.

    Correct spelling

    Fixes typos and grammar in what you already typed. Greyed out until there is text in the box.

    Write it better

    Rewrites your draft in a more professional tone. Also needs text in the box first.

    The result lands in the message box for you to read and edit — it is never sent automatically. This helper uses the same company details you saved in the Joby AI Hub, so replies match how your business talks.

    This button is controlled by its own role setting: AI Helper (Conversations), in the General group of Settings›People›Team Roles. A role can have one of the two AI features without the other.

    AI Generate on estimates

    On the estimate builder there's an AI Generate button next to Preview. What happens depends on the estimate:

    1. If the estimate is linked to a lead that has notes, it turns those notes straight into line items.
    2. If there are no notes, a Generate Estimate with AI window opens. Type what needs doing ("Describe the work needed…") and click Generate.
    3. The lines appear in the estimate for you to price-check and edit before you send it.

    You can also ask Joby AI in the chat to "draft an estimate" — it collects the customer details and the work, shows you the lines, and creates the draft once you confirm. See the Estimates guide for sending, signatures and payment.

    Call summaries

    When the Joby AI agent answers a call, it can write up the call afterwards — who called, what they wanted, and what was agreed. The summary appears as a card in the customer's conversation thread.

    Turn it on where the call is answered: Settings›Visual Call Flows, open the flow, click the AI agent step, and switch on Send Call Summary Notification. You can add your own Summary Instructions underneath to control what the write-up should always mention.

    Teaching Joby AI about your business

    Out of the box Joby AI knows your records but not your rules. To let it answer "what do we charge for a spring replacement?" or "what's our cancellation policy?", add that material in Settings›Connections & AI›Joby AI Hub›Knowledge:

    • Business Knowledge — write entries directly and tag each one as FAQ, Policy or Doc
    • Documents & links — add files or web pages for it to read

    The same material is used by the writing help in Conversations and by the AI agent that answers calls and messages, so you only have to write it once.

    Rollout tip: start with your five most-asked questions (pricing ranges, service area, warranty, call-out fee, cancellation). Then ask Joby AI those five questions yourself to check the answers read the way you'd say them.

    Plans, limits and cost

    • Who gets it — Pro, Growth and Enterprise plans, plus organizations still inside their free trial.
    • Trial allowance — 50 free messages per billing period. The chat header shows how many are left; after that you're asked to upgrade.
    • Paid plans — messages are charged per message from your account balance. If the balance runs out, the chat tells you rather than silently failing.
    • Texting cap — 100 messages a day for the whole company through Joby AI, resetting at midnight UTC.
    • Message length — up to 5,000 characters per message you send.

    Everything shows up on the Billing page. Under Usage Pricing you'll see two separate lines:

    • Joby AI Chat — charged per message you send in the chat panel
    • AI Actions — charged per action for AI estimates, conversation suggestions and call summaries

    In the detailed usage list the writing help in Conversations is itemised on its own line as AI Conversation Helper, counted per suggestion.
