    What it is

    Activity Logs is a history page that lists what happened in your account, newest first. Every row tells you the time, the person who did it, a plain-English description of the action, the lead it belongs to (when there is one), and the internet address and city the action came from.

    You open it from Settings›Admin›Activity Logs. It shows your whole company in one list. If you only want the history of one job or one customer, use the Activity tab inside that record instead — see History inside a lead or client below.

    1. Filters card

    Category, Type, Office Agent, From and To. The Export to CSV button sits in the top-right corner of this card.

    2. Activity Log table

    Six columns: Timestamp, Office Agent, Event, Details, Lead, and IP / Location.

    3. Page counter

    Above the table: "Showing 1 - 50 of 4,213 events". Fifty rows per page.

    4. Previous / Next

    Below the table, with "Page 2 of 85" between them. They only appear when there is more than one page.

    When to use it

    • A lead's status or price changed and you want to know who changed it and when.
    • A customer says they never got an estimate or invoice — check whether it was actually sent.
    • A payment or refund is in question and you need the exact time it was recorded.
    • You want to see when someone signed in or signed out, and from which city.
    • You need a written record for a dispute or a payout argument, exported to a spreadsheet.
    • A service plan visit was marked complete (or un-marked) and you want to confirm who did it.

    Not the right page for: phone call history. Calls are deliberately left out of this list — use Calls in the sidebar, or the Calls tab inside a lead or client.

    Before you start

    You must be an admin

    Activity Logs is admin-only. If your account is not an admin, opening the link sends you straight back to the Dashboard with no error message. Ask an owner to make you an admin in Settings›Team Roles.

    • Nothing to turn on. Recording is always running. There is no on/off switch and no setup step.
    • For the per-lead history, the person also needs the Activity tab permission for leads, and the Activity tab permission for clients, both set in Settings›Team Roles.
    • Know your date range. Only the last 90 days are available — see How long history is kept.

    Step-by-step

    1. Open Settings from the menu at the bottom of the sidebar.
    2. Scroll to the Admin group and click Activity Logs. (Faster: type activity into the Search settings… box at the top of the Settings page.)
    3. In the Filters card, pick a Category — for example Estimates. This is the first dropdown.
    4. Now pick a Type if you want to narrow further — for example Estimate Sent. The Type dropdown stays greyed out until you choose a Category first.
    5. Pick an Office Agent to see one person's actions only, or leave it on All Office Agents.
    6. Set From and To dates. From cannot be later than To, and To cannot be earlier than From — the date pickers enforce it for you.
    7. Read the table. The newest event is always the top row.
    8. Use Previous and Next under the table to move through pages of 50.
    9. When you want to start over, click Clear filters. It only appears once at least one filter is set.

    Reading a row. The Details column is written as a normal sentence, not code — for example "Status changed from New to Scheduled", "Estimate #1042 sent to customer", or "Payment recorded · $250.00 via card". The Office Agent column shows the person's display name; automatic actions show System. The Lead column shows a clickable lead number that opens that lead, or a dash when the event is not tied to one.

    The IP / Location column

    The top line is the internet address the action came from. The line underneath is the best guess at the city and country. It is a rough guess based on the internet connection, not a GPS reading — treat "Unknown, Unknown" as normal, not as a red flag.

    How to check it worked

    1. Open any lead and change something small and safe — a status, or add a comment.
    2. Go to Settings›Admin›Activity Logs.
    3. Leave the filters on All Categories. Your action should be the top row, with your name in the Office Agent column and today's time.
    4. Leave the page open and make one more change in another browser tab. The new row appears at the top on its own — you do not need to refresh.
    5. Now set Category to Leads and Office Agent to yourself. The counter above the table should change to a smaller number, and every visible row should be yours.
    6. Click Clear filters. The counter should jump back to the full total.

    It is working if: the row you just caused is at the top, the Details column reads like a sentence, and the Lead column links back to the record you touched.

    Common mistakes

    • Looking for phone calls here. Calls are excluded from this page by design. Use Calls in the sidebar, or a lead's Calls or Activity tab.
    • Hunting for a search box. There is no free-text search on this page. Narrow with Category, Type, Office Agent and the date range instead — or export and search in your spreadsheet.
    • Expecting settings changes to be logged. Edits to phone numbers, roles, price book items and company details are not recorded here.
    • Clicking the Type dropdown first. It stays greyed out until you pick a Category.
    • Assuming history is forever. Anything older than 90 days is gone. Export before you need it, not after.
    • Forgetting a filter is still on. An old date range or a single Office Agent left selected makes it look like nothing happened. Check the counter above the table and click Clear filters if the number looks too small.
    • Exporting with filters on and calling it "everything". The file only contains what matched your filters at the moment you clicked the button.
    • Treating the location as proof of where someone was. It is an estimate from the internet connection. Home internet, mobile data and company networks routinely report a neighbouring city or nothing at all.
    • Sending a non-admin to this page. They will be bounced to the Dashboard without an explanation. Change their access in Settings›Team Roles first.

    What gets recorded

    The Category dropdown is the honest list of everything this page can show you. These are the categories and the events inside them:

    • Leads — Lead Created, Status Changed, Lead Sent, Lead Updated, Lead Field Updated, Lead Assigned, Lead Unassigned, Lead Deleted, Comment Added
    • Payments — Payment Added, Payment Received, Payment Removed, Payment Refunded
    • Estimates — Estimate Created, Sent, Signed, Paid, Status Changed, Refunded
    • Invoices — Invoice Created, Sent, Paid, Refunded
    • Messaging — SMS Sent, SMS Received
    • Service Plans — Plan Assigned, Plan Sent, Plan Activated, Visit Completed, Visit Uncompleted, Plan Renewed, Plan Cancelled, Plan Payment Failed, Plan Automation
    • Tasks & Appointments — Task Created, Task Completed, Appointment Scheduled
    • Clients — Client Created, Client Updated, Tag Added, Tag Removed, Address Added, Address Updated, Address Removed, Primary Address Set
    • Sessions — Login, Logout, Status Change (someone switched their availability), Heartbeat Timeout (signed out because their connection dropped), Inactivity Timeout (a web session signed out after being idle too long), and Went Inactive (the mobile app went quiet for a day — closed or offline; that person is still signed in and their activity resumes without a new login)

    What this page does not show. Phone calls and uploaded documents are hidden here on purpose — you will still find them on the lead's Activity tab. And changes you make on the Settings pages themselves (phone numbers, price book, roles, company details) are not written to Activity Logs at all. Do not rely on this page to prove who changed a setting.

    If your company renamed "Leads" or "Office Agents" in Settings›Company Settings, the category names, event names and column headings on this page follow your wording automatically.

    Exporting to a spreadsheet

    Export to CSV

    Top-right corner of the Filters card. Opens in Excel, Numbers or Google Sheets.

    1. Set the filters you want first — the export obeys them exactly.
    2. Click Export to CSV. The button changes to Exporting… and small messages count up as records are gathered.
    3. When it finishes you get an Export complete message and the file downloads as activity-logs- followed by today's date.

    The file has these columns:

    • Timestamp — full date and time
    • Office Agent — who did it, or System
    • Event — the event name, such as Estimate Sent
    • Lead # — the lead number, when there is one
    • Lead ID — the long internal reference for that lead
    • IP Address and Location
    • Details — the full raw detail of the event, useful for support tickets

    The export is not just the page you are looking at. It pulls every record that matches your filters, which can be tens of thousands of rows. With no filters set it can take a while — narrow the dates first.

    History inside a lead or client

    For one job or one customer, the record's own Activity tab is easier to read than the company-wide list. It groups events under day headings like Today, Yesterday and Monday, with a coloured dot for each type of event.

    A lead's Activity tab

    1. Go to Leads in the sidebar and open the lead.
    2. Click the Activity tab. The number beside it is the event count.
    3. Use the buttons across the top to narrow the list: All, Calls & SMS, Estimates, Payments, Lifecycle.

    This is the one place phone calls and uploaded documents show up in the history — they are hidden from the company-wide Activity Logs page.

    A client's Activity tab

    1. Go to Clients in the sidebar and open the client.
    2. Click the Activity tab.
    3. Narrow with All, Lifecycle, Calls & SMS, Estimates, Payments, Client or Locations.

    If the client has more than one address, picking a location on the client page filters the Activity tab to that location plus anything not tied to a specific address.

    How long history is kept

    90 days, then it is deleted

    Activity older than 90 days is removed automatically by an overnight clean-up. This applies everywhere the history appears — the Activity Logs page, the lead Activity tab and the client Activity tab.

    If you need a longer record — for insurance, payroll disputes, or chargebacks — export to a spreadsheet on a schedule and keep the files yourself. A good habit is a monthly export with no filters other than the month's dates.
