Lead Report
Pull a filtered, sortable list of your leads with money columns, save it as a view, and export it to a spreadsheet.

What it is
The Lead Report is a working list of your leads, not a chart page. You pick a date range and a set of filters, and you get three summary boxes at the top plus one big table underneath — one row per lead, with contact details, service details, and the money columns (Total, Field Worker Cost, Expenses, Profit, Commission).
You reach it from the sidebar under Reports›Lead Reports, or from Reports and then the Leads Report card. On a phone, tap More›Reports & Payments›Lead Report. The page itself is titled Leads Report.
1. Summary boxes
Total Leads, Done Leads (with the percentage), and a Status Breakdown of your four biggest statuses.
2. Filter panel
Date Range, Filter by, Service Type, Status, Ad Source, Field Worker, Service Area, Created By, Assigned Office Agent, Sub Status and Call Group.
3. The table
Sort by clicking a heading, drag the edge of a heading to widen it, and click a lead number to open that lead.
4. Export CSV
Top-right button. Downloads every lead that matches your filters, not just the page you are looking at.
When to use it
- You want a list of every job you closed last month, with the money on each one.
- You want to hand a spreadsheet to your bookkeeper or accountant.
- You want to see how many leads sat in a particular status over a period.
- You want to check one field worker's jobs, one service area, or one ad source.
- You want to spot leads that are missing a total, a field worker, or an address.
If you want charts and trend lines instead of a list, use Lead Statistics (Reports → Statistic Reports). If you want what to pay each field worker, use Commission Reports.
Before you start
- Permission. Your role needs the Reports permission turned on (Settings → Team Roles). Without it the page will not open and the sidebar link is hidden.
- Lead Statuses. The Status and Sub Status filters, and the Status Breakdown box, are built from Settings → Lead Statuses. The Sub Status filter only appears once at least one status has sub statuses on it.
- Service Types. Set up in Settings → Service Types. These fill the Service Type filter.
- Ad Sources. Set up in Settings → Ad Sources.
- Service Areas and Call Groups. Set up in Settings → Service Areas and Settings → Call Groups.
- Some leads already saved. The Service Type, Ad Source, Service Area and Call Group filter lists only offer values that are already on at least one lead, so a brand new option will not appear in the list until a lead uses it.
- Your own fields (optional). Fields you created in Settings → Custom Fields → Leads appear as extra columns here, but only when that field has Show column switched on.
Good to know: if your company renamed "Lead", "Office Agent" or "Field Worker" in Settings, this page uses your wording. Screens and buttons will read the same way, just with your labels.
Step-by-step
- In the sidebar, open Reports›Lead Reports.
- Set Date Range. The dropdown has Today, Yesterday, This Week, Last Week, This Month, Last Month, Last 30 Days, Last 90 Days, This Year, Last Year and whole-year options, plus a calendar for a custom range. The page opens on This Week.
- Set Filter by. This decides which date the range is measured against: Created Date, Schedule Date, or Closed Date (the job's end time). The page opens on Closed Date.
- Narrow the list with the filter boxes: Service Type, Status, Ad Source, Field Worker, Service Area, Created By, Assigned Office Agent, Sub Status and Call Group. Each one lets you tick more than one option, and leaving a box empty means "all".
- Untick Include unassigned leads if you only want leads that already have a field worker on them. It is ticked by default.
- Use the Search leads... box above the table for a name, phone number or email.
- Click Columns above the table to tick or untick the columns you want to see.
- Click any column heading to sort. Click it again to flip between ascending and descending — a small arrow shows the direction.
- Click Export CSV at the top right to download the whole filtered list as a spreadsheet.
How to check it worked
- Look at the count above the table — "1-100 of 342 leads". If it says 0, your filters are too tight or the date range is wrong.
- Check Total Leads in the first summary box against what you expected for that period.
- Pick one row you know and click its lead number. The lead should open with the same status, field worker and total you saw in the table.
- Read the Active filters line under the filter boxes and confirm it matches what you meant to apply.
- After saving a view, reload the page and pick it from the Saved views dropdown — your filters, columns and sort should come back exactly.
- After exporting, open the file and check the row count roughly matches the "of N leads" number on screen.
Common mistakes
"My new leads are missing"
The page opens on Closed Date and This Week. A brand-new lead has no closing date yet, so it will not appear. Switch Filter by to Created Date.
"The report is empty and I don't know why"
Clear the search box first, then read the Active filters line, then widen the date range. Remember that Advanced Filters rules stay applied even when the panel is collapsed — the button shows a number badge when rules are active.
"I filtered by office agent and got the wrong people"
Created By is who entered the lead. Assigned Office Agent is who owns it. They are separate filters and often different people.
"My export is missing columns I turned on"
The Columns button only changes what you see on screen. The exported file always has the same fixed set of columns.
"Profit looks wrong"
Profit subtracts field worker cost, company parts, outside lead cost and commission, itemised expenses, and commission from the total. If any of those are missing on the lead, the number will look too high. Open the lead and check its Items and Expenses tabs.
"A lead I can see in Leads is not in the report"
Callback tickets are excluded from this report on purpose. Also check that Include unassigned leads is ticked if the lead has no field worker yet.
"The Created By rule in Advanced Filters shows email addresses"
That is expected in the Advanced Filters rule builder. The normal Created By filter box above it shows people's names.
"My custom field is not a column"
Go to Settings → Custom Fields → Leads, open the field, and switch Show column on. Then tick it under the Columns button.

The three summary boxes
- Total Leads — how many leads match your date range and filters right now.
- Done Leads — how many of those are in the Done status, with that number as a percentage of the total underneath.
- Status Breakdown — your four biggest statuses in this result, largest first, with a count next to each.
All three counts cover the entire filtered result, not just the page of rows you can see. If you change a filter, they update with it.
The filter panel in detail
Date Range + Filter by work as a pair
"Last Month" plus "Closed Date" gives you jobs finished last month. "Last Month" plus "Created Date" gives you leads that came in last month, finished or not. Same range, very different lists.
- Created By — the office agent who created the lead.
- Assigned Office Agent — the office agent the lead is assigned to. This is a different person from Created By, so do not use them interchangeably.
- Field Worker — the field worker on the job.
- Call Group — which inbound call group the lead came through.
- Sub Status — only shown when your statuses have sub statuses, and the options narrow to match whichever statuses you picked.
Underneath the boxes, a short Active filters line summarises what you have applied — a quick way to see why a list looks smaller than you expected.
Callback tickets are never included in this report. Look for those under Callback Tickets.
Advanced Filters
At the bottom of the filter panel is Advanced Filters. Use it when the normal boxes are not enough — for example "Total Amount is greater than 1500" or "Postal Code contains 331".
- Click Add Filter.
- Pick a field, pick a comparison, then type or pick the value.
- Add more rules if you need them — rules are joined with AND, so a lead has to match every rule.
- Click the X on a rule to drop it, or Clear All to remove them all.
Fields you can build a rule on:
- Status, Sub Status, Service Type, Field Worker, Service Area, Call Group, Ad Source, Tag
- City, State, Postal Code
- Total Amount, Field Worker Cost
- Created By, Scheduled Date, Created Date
Comparisons include Equals, Not Equals, Contains, Does Not Contain, Greater Than, Less Than, Greater or Equal, Less or Equal, Is Empty and Is Not Empty. Which ones you get depends on the field — dates and amounts get the "greater/less" options, text fields get Contains.
"Is Empty" is the fastest way to find gaps: set Total Amount›Is Empty to list closed jobs nobody priced.
The table and its columns
The bar above the table holds the search box, a Show dropdown for how many rows per page (100, 200, 500 or 1000), a running count such as "1-100 of 342 leads", and the Columns button.
Columns available today:
- Lead # — click it to open the lead
- Status and Sub Status
- Name, Phone, Email, Address
- Service Type, Ad Source, Job Source (the call group), Service Area
- Created By, Assigned Office Agent, Field Worker
- Created, Schedule, End Time
- Commission — shows either a percentage or a fixed dollar amount, whichever applies to that job
- Total — the amount on the lead
- Field Worker Cost
- Expenses — the expenses added on that lead's Expenses tab
- Profit — what is left after field worker cost, company parts, outside lead cost and commission, outside commission, and expenses
- Any of your own lead fields that have Show column switched on
Most columns sort when you click the heading. Expenses, Profit and your own custom fields do not sort. You can widen any column by dragging the divider on the right edge of its heading — handy for long addresses.
A lead that has more than one field worker on it still shows as a single row. The displayed field worker and commission come from the first active assignment, while the Profit column accounts for every active assignment.
Saved views
A saved view stores your whole setup: date range, Filter by, every filter box, the search text, the sort, the rows-per-page, your advanced filter rules, and which columns are showing.
To save one:
- Set the report up exactly how you want it.
- In the Saved views bar at the top of the filter panel, click Save view.
- Type a name in the View name box — something like "Jobs closed this week".
- Click Save view in the dialog.
To reopen it later, pick it from the Saved views dropdown. When a saved view is active its name shows as a small tag next to "Saved views", and a trash icon appears next to the dropdown to delete it. Choosing Current report view in the dropdown means "no saved view selected" — it does not reset your filters.
Saved views are yours alone. They follow you to any device you sign in on, but your teammates do not see them. Saving under a name you already used replaces that view.
Exporting to a spreadsheet
Click Export CSV at the top right. A short "Preparing CSV export..." message appears, then your browser downloads a file named leads-report-YYYY-MM-DD.csv and a message confirms how many leads were exported.
- The file contains every lead matching your filters, not only the rows on screen.
- The file's columns are fixed and do not follow the Columns button: lead number, name, phone, email, address, status, sub status, service type, ad source, call group, service area, office agent, field worker, created, schedule date, closed date, commission share, total, field worker cost, expenses, profit, and your own lead fields.
- If nothing matches, you get a "No leads match the current filters." message and no file.
The Export CSV button is on the desktop layout. On a phone, open the report on a computer when you need the file.
On your phone
On a phone the report shows as a stack of cards instead of a table. Each card shows the lead number, status, name, phone, service type, service area, field worker and the date it was created. Tap the lead number to open the lead. Pull down on the list to refresh it. The filter panel, search and saved views all still work; the wide table and the Export CSV button are desktop only.
