What it is
Appointments in Joby are online bookings your customers make themselves. You publish a booking form — either as a link you can text and email, or as a form pasted into your own website — and every submission lands in Joby as an appointment you can confirm, complete, cancel, and turn into a lead.
There are two places you work with them:
- Settings›Booking Form — set up the form on the Form Setup tab, and work through what came in on the Request History tab. Admins also get a Booking Form shortcut in the sidebar under More, with a number badge showing how many bookings are still Pending.
- The schedule board — a day, week, and month calendar of everything booked. On a computer you reach it from Dashboard›Appointments card›View appointments, or by searching a customer name in the search box at the top of the app and picking the result under "Appointments".
There is no "add appointment by hand" button
Appointments only arrive from your booking form, from the booking form embedded on your website, or from your AI phone agent when Auto-Create Appointment from Call is switched on in the call flow. To book a job yourself, create a lead instead: Leads›+ New Lead.
When to use it
- You want customers to pick their own time instead of calling and waiting on hold.
- You want a "Book online" button on your website that feeds straight into Joby.
- You want separate booking links for different campaigns, services, or locations.
- Every morning, to work through the bookings that came in overnight and confirm them.
- To see what the day, week, or month looks like before you promise a customer a time.
Before you start
- Admin access. Settings›Booking Form is admin-only. Office agents who are not admins need the Appointments permission turned on for their role in Settings›Team Roles before they can see bookings at all.
- Your services list, if you want customers to choose what they need. Services come from Settings›Service Types.
- A decision about leads. If every booking should automatically open a lead, pick which status and ad source it should get. Those lists live in Settings›Lead Statuses and Settings›Ad Sources.
- Your real hours. Which days you take work, what time you start and finish, how long a visit takes, and how much notice you need before a customer can grab a slot.
Step-by-step
1. Set your booking hours
- Go to Settings›Booking Form›Form Setup.
- In the Availability card, click the day buttons (Sun through Sat) so only the days you actually take work are highlighted.
- Set Start Time and End Time to your working hours.
- Set Duration — how long each bookable slot is. The choices are 15 minutes, 30 minutes, 45 minutes, 1 hour, 1.5 hours, and 2 hours.
- Set Minimum lead time — how many hours of notice you need. A customer can't book any slot sooner than this.
- Click Save Settings.
2. Choose what the form asks for
- Still on Form Setup, use the Form copy card to set the Title and the Text below title customers see at the top of the form, then click Save Copy.
- In the Standard form fields card, switch each field Show and Required on or off. You can control appointment date, appointment time, last name, email, address, and notes. First name and phone are always shown and always required.
- In the Services on booking form card, turn on Show service selection on booking form if you want a service picker, then switch on each service you want customers to see. Turn on Require service selection to make it mandatory.
- In the Bookings›leads card, turn on Automatically create a lead for every booking if you want each booking to open a lead by itself, and pick the lead status and ad source it should get.
3. Share the link or put the form on your website
- At the top of Form Setup, click Copy Link to copy your public booking link, or Open to see the live form the way a customer sees it.
- To put the form on your own website, click Embed. The window gives you a Widget URL for site builders that have an embed block, and an HTML snippet you can paste into a plain HTML or custom-code block. Click Copy snippet.
- Paste the link into your email signature, text templates, Google Business profile, and ads.
4. Work the bookings that come in
- Open Settings›Booking Form›Request History (admins can jump straight there from More›Booking Form in the sidebar).
- Each row shows when it was submitted, the customer, phone, email, requested date and time, status, address, and notes. Click the arrow at the left of a row to expand long notes and addresses.
- Click the status on a row and pick Pending, Confirmed, Completed, or Cancelled.
- Use Create Client to add the customer to your client list, and Create Lead to open a job for them — Joby takes you straight to the new lead. Once a client or lead exists, those buttons change to Open Client and Open Lead.
- Use the List / Calendar switch to see the same requests laid out by the date the customer asked for, and Export CSV to download them.
5. Check the schedule board (on a computer)
- Go to Dashboard and click View appointments on the Appointments card.
- Use the date buttons — All, Today, This Week, This Month, Custom — to set the window you care about.
- Switch between List and Calendar. In Calendar, use day / week / month, the arrows, and Today to move around.
- Click any booking to open Appointment Details, where you can change the status, jump to the linked lead, or click Create lead from appointment.
Good habit
Move a booking to Confirmed the moment you've spoken to the customer, and to Completed the day the work is done. The Pending count on the sidebar badge is only useful if your team keeps statuses honest.
How to check it worked
- In Settings›Booking Form›Form Setup, click Open and book a test appointment on your own form, exactly as a customer would.
- Confirm you only see the days, hours, and slot lengths you set, and that nothing sooner than your minimum lead time is offered.
- Submit it. You should see the confirmation screen with your requested date and time, and the message that you'll be contacted shortly.
- Back in Joby, open Request History. Your test booking should be at the top of the list, newest first, with the details you typed.
- If you turned on Automatically create a lead for every booking, the row should already show Open Lead instead of Create Lead.
- On a computer, open the schedule board and switch to Calendar›month. Your test booking should sit on the day you chose. Delete the test row when you're done: select its checkbox and click Delete selected, or use Delete on the row.
Common mistakes
- Looking for a "New Appointment" button. There isn't one. Bookings come from the form. For work you book yourself, create a lead.
- Minimum lead time set too high. If it's set to 48 hours, nobody can book the next two days and the form looks broken. Lower it and re-test.
- No days switched on. If every day button in Availability is unselected, customers see no times at all.
- End Time earlier than Start Time. This leaves no slots to offer. Check both.
- Too many required questions. Every extra required field is another reason someone gives up halfway. Ask for what you need to show up at the right door, and get the rest on the phone.
- Renaming a booking form and not updating your links. Renaming a form changes its link. Any old link you already published stops working — re-copy the link after a rename.
- Deleting the wrong thing. Deleting a booking request removes the request only. If it already became a lead, that lead stays. Leads are never deleted from this screen.
- Expecting Joby to text the customer automatically. Booking does not send a confirmation message on its own. Set that up as an automation (see below).
- Changing hours mid-week without testing. Anything you change in Availability affects what customers can book immediately. Open the public form after every change.

A tour of the schedule board
Work the board in this order: date buttons›filters›calendar or list›appointment details.
1. Schedule board summary
Counts for Total, Pending, Confirmed, and Completed in the window you picked, plus With Lead and Needs Lead tiles you can click to filter instantly. A Next appointment card sits beside it.
2. Date buttons and filters
All, Today, This Week, This Month, Custom, a search box for name or phone, a status dropdown (including Open, which means Pending plus Confirmed), and a lead dropdown.
3. Calendar or list
Calendar opens by default with day, week, and month views. Each booking shows as a small chip: green edge means it already has a lead, orange means it still needs one. Busy days show "+2 more".
4. Appointment Details
Date, time, status dropdown, address, notes, Service Details (the answers to your own questions), and when it was booked. Plus a link to the linked lead or a Create lead from appointment button.
In List view each booking is a card with a Details button, a Create lead button when it doesn't have one yet, and a row of Quick status buttons — Confirm, Complete, Cancel, and Reopen — so you can update without opening anything.
Appointment statuses
There are exactly four:
- Pending — the booking came in and nobody has confirmed it yet. This is what the sidebar badge counts.
- Confirmed — you've spoken to the customer and the time is agreed.
- Completed — the work was done.
- Cancelled — the booking is off.
The status dropdown on the schedule board also has an Open choice. That isn't a status you can set — it's a filter that shows Pending and Confirmed together.
Every setting on the Form Setup tab
Settings›Booking Form›Form Setup, top to bottom:
- Copy Link / Embed / Open — grab the public link, get website embed code, or preview the live form.
- Booking forms — the list of your forms, with New form and per-form buttons for copy link, rename, duplicate, make default, and delete.
- Form copy — Title and Text below title, saved with Save Copy.
- Availability — Available Days, Start Time, End Time, Duration, and Minimum lead time, saved with Save Settings.
- Services on booking form — show or require a service picker, and choose which of your service types appear. Add a new service right from this card.
- Bookings›leads — automatically create a lead for every booking, and set the lead status and ad source it gets.
- Standard form fields — show/require toggles for appointment date, appointment time, last name, email, address, and notes. Turning the address field on also captures city, state, and ZIP.
- Form Fields — your own extra questions (see the next section).
Some accounts also see an Availability engine card, which double-checks free slots on the server and can stop two customers booking the same time. It's off unless it's been switched on for your account — if you don't see the card, you don't have it.
Adding your own questions
The Form Fields card on Form Setup lets you ask anything else you need.
- Click Add Field.
- Type a Field Label — what the customer reads, for example "Gate code".
- Pick a Field Type: Text, Number, Dropdown, Text Area, Checkbox, Phone, or Email.
- For a Dropdown, type the choices in Options, separated by commas.
- Add a Placeholder or Help Text if the question needs explaining.
- Tick Required field if the customer must answer, then click Add Field.
On each field in the list you can tick Required, click the pencil to edit, or the bin to delete. Click the chevron to expand a field, where you'll find Active (visible on booking form) and Conditional Display — which hides the question until a customer picks a particular answer in one of your dropdowns.
Answers to these questions show up under Service Details when you open an appointment. When you press Create Lead in Request History, they're also copied into the new lead's notes so whoever works the job can see them.
Fields keep the order you created them in
You can't drag questions around to reorder them. If the order matters, delete and re-add the questions in the sequence you want.
Running more than one booking form
You can have up to 20 booking forms, each with its own link, its own questions, and its own hours — handy for separate services, seasonal promotions, or different crews.
- In the Booking forms card, click New form and give it a name (at least two characters, and not a name you've already used).
- Click the form in the list to select it. The cards below it now apply to that form only — a banner tells you which one you're editing.
- Set that form's copy, hours, services, and questions.
- Use the copy icon on the row to grab that form's own link.
- Use the star icon to make a form your Default — the one your main booking link opens.
- Use the duplicate icon to copy an existing form, including its settings and questions, as a starting point.
When you have more than one form, Request History gains an All forms dropdown so you can look at one form's bookings at a time, and each row shows which form it came from. The default form can't be deleted — make another form the default first. Deleting a form stops its link working, but bookings you already received are kept.
On your phone
The full schedule board is a computer screen. On a phone, tap Settings in the bottom bar, then Management›Booking Form. You get a simplified booking inbox: filter chips for Pending, Confirmed, Completed, Cancelled, and All, a List / Calendar switch, and Export. Each card gives you a tappable phone number, a Confirm button on pending bookings, a Create Lead button, and call and text buttons once a booking is confirmed. Bookings that already became a lead are marked Converted.
Automatic confirmations and reminders
Joby doesn't text or email the customer by itself when a booking arrives — the confirmation screen simply tells them you'll be in touch. To send something automatically, build it in Visual Workflows. The booking triggers you can start an automation from are:
- Online Booking Received — someone books through your booking form.
- Online Booking Rescheduled — a booking moves to a different date or time.
- Online Booking Cancelled — a booking is cancelled.
- Online Booking Completed — a booking is marked complete.
- Online Booking No-Show — a customer doesn't turn up.
Tip: A "thanks, we've got your booking" text on Online Booking Received and a reminder the day before are the two automations worth building first.
Troubleshooting
A customer says there are no times available
- Open Settings›Booking Form›Form Setup›Availability and check the day buttons, Start Time, and End Time.
- Check Minimum lead time — it blocks everything sooner than that many hours from now.
- Click Open at the top of the tab and try booking yourself to see exactly what they see.
A booking isn't showing on the schedule board
- Clear the search box and set the date filter to All.
- Check the status dropdown and the lead dropdown aren't hiding it.
- Cross-check Request History, which always lists submissions newest first regardless of date.
Bookings aren't turning into leads
- In Form Setup›Bookings›leads, confirm Automatically create a lead for every booking is on for the form the customer used.
- If you run several forms, check the setting on that specific form — each form has its own.
- Otherwise, create leads by hand with Create Lead in Request History or Create lead from appointment in Appointment Details.
The link I shared stopped working
- A rename changes a form's link. Re-copy it from the copy icon on the form's row.
- If the form was deleted, its link is gone for good — point people at another form's link instead.
An office agent can't see appointments
- Turn on the Appointments permission for their role in Settings›Team Roles.
- The Booking Form setup screen stays admin-only no matter what.
Availability changes go live straight away
Days, hours, slot length, and minimum lead time change what customers can book the second you save them. Always click Open and look at the live form after a change.
