Pipeline

    The drag-and-drop board inside the Leads page. Each column is a lead status, each card is a lead, and dragging a card changes that lead's status.

    What it is

    Pipeline is one of the three ways to look at your leads. It is not a separate menu item — it lives on the Leads page, next to List and Calendar in the view switcher.

    On the Pipeline board every column is one of your lead statuses and every lead is a card. Drag a card from one column to another and that lead's status changes right away. Each column header also shows how many leads are in that stage and the total dollar value sitting there.

    Where to find it: Sidebar → Leads → click Pipeline in the List / Calendar / Pipeline switcher in the toolbar. Joby remembers which view you were last using.

    When to use it

    • Morning triage — see at a glance how many leads are stuck in each stage.
    • Fast stage moves — move several leads forward without opening each one.
    • Money check — the dollar total in each column header shows where your revenue is sitting.
    • Spotting gaps — turn on Unassigned only to find leads with no field worker attached.

    Use a different view when:

    • List — you need sorting, columns, bulk edits, or Export CSV.
    • Calendar — you are working by appointment date and time.

    Before you start

    • Your role must allow the Pipeline view. An admin sets this in Settings›People›Team Roles → choose the role → the Leads Page Views card → turn on Pipeline view. If a role has only one view turned on, the switcher is hidden completely.
    • You need at least one active lead status. Set these up in Settings›Pipeline›Lead Statuses. With none, the board shows "No active statuses to display."
    • Use a computer for the full board. On a phone you still get the columns and drag-and-drop, but the search box, the field worker and office agent pickers, and the Advanced Filters row are only shown on a computer.

    Step-by-step

    1. Open the board

    1. Click Leads in the sidebar.
    2. In the toolbar, click Pipeline in the List / Calendar / Pipeline switcher.

    2. Choose which columns you see

    1. Click the Statuses (N) button above the board — N is how many columns are showing.
    2. Under Show in pipeline, tick or untick each status.
    3. Click All in the corner of that menu to bring every column back.

    Your choice is saved to your own account, so the board looks the same next time you open it.

    3. Narrow the board to the leads you care about

    1. Type in the search box to match a lead ID, name, company, phone, or email.
    2. Use Filter by Field Worker and Filter by Office Agent in the toolbar.
    3. Click Show Unsent Only to see just the leads that have not been sent out yet.
    4. Open the Advanced Filters row and click Add Filter for anything more specific.
    5. In the Statuses menu, tick Unassigned only to see leads with no field worker.

    4. Pick what shows on each card

    1. On the Advanced Filters row, click Card fields (next to Saved views).
    2. Under Show on cards, tick the details you want on every card.

    5. Move a lead to a new status

    1. Press and hold a card, then start dragging. A small movement is needed before the drag begins — that is what keeps a plain click from moving anything.
    2. Drag it over the target column. The column you are hovering gets a highlighted outline.
    3. Release. The card lands in the new column and a Moved to "…" message appears.

    To open a lead instead of moving it, just click the card. The lead opens in a window with Details, Activity, Calls, Tasks, Time and Comments tabs.

    How to check it worked

    1. A short Moved to "…" message appears after you drop the card.
    2. The card is sitting in the new column, and both column counts and dollar totals have adjusted.
    3. Click the card to open the lead, then open the Activity tab. The status change is recorded there with the old status, the new status, who did it, and when.
    4. Switch to the List view — the lead now shows the new status there too.

    If the move did not stick

    A failed move puts the card straight back in its original column and shows a red error message. Nothing is half-saved. Read the message, fix what it asks for, and drag again.

    Common mistakes

    "There is no Done column"

    That is on purpose. Done, Closed, Canceled and Cancelled are left off the board. Open the lead and change its status inside the lead window, or use the List view, to close a job.

    "It will not let me mark a lead Done"

    A lead cannot be closed as Done until a field worker is assigned to it. Assign one first, then set the status.

    "Cards keep opening when I meant to move them"

    A card needs a small drag before it starts moving; anything shorter counts as a click and opens the lead. Move the mouse a little further before you let go.

    "A lead is missing from the board"

    • Its column may be unticked in the Statuses menu.
    • The search box, Show Unsent Only, the field worker or office agent filter, or an Advanced Filter rule may still be on.
    • Its column may be over 50 cards — look for "+N more" at the bottom and narrow your filters.
    • It may be closed, a callback ticket, or in a status that is switched off.

    "Moving cards fired off a load of messages"

    Every status change can start an automation. Before a big tidy-up, check Settings›Pipeline›Automations for anything using the Lead Status Changed trigger — those can text or email customers, create tasks, or reassign work.

    "Renaming a status emptied a column"

    Columns are matched to statuses by name. Rename or delete a status in Settings›Pipeline›Lead Statuses and the board changes with it. Agree status names with your team before changing them, and refresh the Leads page afterwards.

    Treat a drop as a real change

    There is no preview and no undo button. If you drop a card by accident, drag it back to where it came from straight away and leave a note on the lead so the history makes sense.

    Reading the board

    Column header

    A colored dot, the status name, the total dollar value of that column, and the lead count on the far right.

    Lead card

    Lead ID, customer name, any tags, the scheduled date and time, the job total, and whichever details you turned on under Card fields.

    Color stripe

    The stripe down the left edge of a card and the small name chip both use one color per field worker, so you can pick out one person's jobs quickly. Leads with nobody attached get a grey stripe and the word Unassigned.

    Column totals

    Counts and dollar totals cover every lead in that stage — not only the cards currently on screen — and they update the moment you drop a card.

    What the board leaves out

    • Closed stages are not shown. Statuses named Done, Closed, Canceled and Cancelled deliberately have no column, so the board stays focused on live work. Close a lead by opening it and changing its status inside the lead window, or from the List view.
    • Callback tickets are not shown. They have their own page — Callback Tickets in the sidebar.
    • Each column shows up to 50 cards. If there are more, the bottom of the column reads "+N more — narrow filters to see them." The number in the header is still the true total.
    • Turned-off statuses have no column. Only active statuses appear.

    Choosing what appears on cards

    Card fields sits on the Advanced Filters row and only appears while you are on the Pipeline view. Your selection is saved to your own account.

    Turned on to begin with:

    • Lead ID, Phone, Service Type, City / State, Office Agent, Field Worker, Ad Source

    Also available:

    • Email, Company, Street Address, City, State, Zip, Service Area, Call Group, Created By, Created
    • Any of your own lead fields that have Show column switched on in Settings›Business›Custom Fields.

    Fewer fields means shorter cards and more of them on screen. Pick the two or three details your team actually decides on, and open the lead for the rest.

    Filters that change the board

    Toolbar

    Search box, Filter by Field Worker (including Unassigned), Filter by Office Agent, and Show Unsent Only.

    Statuses menu

    Picks which columns are on the board, and holds the Unassigned only tick box.

    Advanced Filters

    Click Add Filter on the Advanced Filters row to build a rule. The fields on offer are:

    • Status, Sub Status, Service Type, Field Worker, Service Area, Call Group, Tag, Ad Source
    • City, State, Postal Code
    • Total Amount ($), Field Worker Cost ($)
    • Created By, Scheduled Date, Created Date
    • Plus any of your own lead fields that have Show filter switched on.

    Counts change when you search

    While the search box has text in it, or Show Unsent Only is on, the number in each column header counts only the cards you can see rather than the whole stage. Clear the search to get the true stage totals back.

    Saving a board setup you use often

    Saved views sits on the Advanced Filters row and remembers the whole setup — including the fact that you were on the Pipeline view.

    1. Set the board up the way you want it.
    2. Click Save view, give it a name, and save.
    3. Pick it from the Saved views dropdown any time to come straight back to it.

    Useful saved views: "My board today" (your own name in the office agent filter), and "Needs a field worker" (Unassigned only, all columns).

    Setting up the columns

    The columns come from your lead statuses. To change them, go to Settings›Pipeline›Lead Statuses.

    1. Click New Status to add one.
    2. Fill in Status Name and Badge Color — that color becomes the dot on the board.
    3. Turn on Set as default status for new leads if new leads should start here.
    4. Add Sub-Statuses (optional) if you want finer detail inside one stage.
    5. Drag the handle at the left of a row to reorder. The board follows that order left to right.
    • Rows marked System cannot be edited or deleted.
    • Anyone with the Leads page already open should refresh it to pick up a new or renamed status.

    Who can use the Pipeline

    Access is set per role in Settings›People›Team Roles. Open a role and look at the Leads Page Views card:

    • List view
    • Calendar view
    • Pipeline view
    • All three need the role to have access to the Leads page first.
    • If only one view is allowed, the switcher does not appear at all — that role simply lands on its one view.
    • Field workers are set up to land on the Calendar, so they do not normally see the Pipeline.
