What it is
Auto Transport is an add-on for companies that arrange vehicle shipping. It adds two working tools and two setup pages to your account:
Transport Calculator
Enter pickup, dropoff, and vehicle. Get a total price, deposit, balance, distance, price per mile, and a route map.
Estimates
The full list of customer estimates, with statuses, tags, sources, search, filters, and one-click send.
Email Templates
The wording of the emails and text messages you send about estimates.
Email Automations
Rules that send those templates on their own when an estimate reaches a status, or a set number of hours later.
You reach all four from More›Auto Transport in the left menu. On a phone, open More and pick Auto Transport Estimates or Auto Transport Calculator.
This sits alongside your normal estimates
Auto Transport does not replace the regular Estimates page. Both exist. Use Auto Transport when the job is a vehicle move; use Estimates for anything else.
When to use it
- A caller asks what it costs to ship a car from one place to another.
- You want the price, the vehicle details, and the route on one customer-facing page.
- You need the customer to sign a transport agreement and pay a deposit before you book a carrier.
- You want quotes that went quiet to be chased automatically by email or text.
- You want to see how many quotes turned into paid deposits, and which source they came from.
If the job is not a vehicle move, use the regular Estimates page instead.
Before you start
- The add-on has to be switched on for your company. If it is not, Auto Transport will not appear under More in the left menu. Ask your Joby contact to enable it.
- The person using it needs permission. Go to Settings›Team Roles, open the role, and turn on Auto Transport under Industry Modules.
- Add your lead sources first. Go to Settings›Ad Sources. Those names fill the Estimate source dropdown on the calculator and on every estimate, and they drive the source filter on the estimates list.
- Decide your statuses. Go to Settings›Estimate Settings›Statuses. Any status whose Applies to column includes Auto Transport Estimate shows up as a tab and as a status choice on your estimates.
- You need a customer email address to send an estimate. The send button emails the estimate. Without an email address on the estimate, it will not go out.
Step-by-step
1. Price the move
- Go to More›Auto Transport›Transport Calculator.
- Under Customer & Source, fill in Customer Phone and pick an Estimate Source. If you are on a live call, the phone number and matching source fill in on their own and you will see an Auto-detected from call badge.
- Under Pickup Location, choose ZIP Code or City & State and enter it. Do the same under Dropoff Location.
- Under Vehicle Information, pick the Year, then start typing the Make and Model and choose from the suggestions. Vehicle Type fills itself in from the model; you can change it to Sedan, SUV, Truck, or Van.
- Answer Is Vehicle Inoperable? — No (Runs & Drives) or Yes (Does Not Run).
- Click Calculate Price.
Pricing Results then shows Total Price, Deposit, Balance Due on Delivery, Distance, Price/Mile, a confidence note when one is returned, and the two addresses it matched. A route map appears underneath.
2. Turn the price into an estimate
- Click Create Estimate from Results. The vehicle, both locations, the prices, the distance, the phone number, and the source carry over.
- Fill in Customer Information: First Name, Last Name, Email, Phone.
- Check Vehicle Information. Use Add Vehicle if the customer is shipping more than one. Each vehicle has a Year, Make, Model, and Type (Sedan, SUV, Truck, Van, Motorcycle), plus a Vehicle Condition switch that reads Run & Drive or Not Running. Switch it to Not Running and a Reason Not Running list appears — Doesn't Roll, Doesn't Steer, Flat Tire(s), Frame Damage, No Keys, No Tires, or Other.
- Under Pickup Location and Dropoff Location, finish the address, City, State, and Zip Code, and set Type — Business, Dealer, Private, or Auction. Both Types are required.
- Set the Pickup Date and Delivery Date under Shipping Dates. Delivery starts five days after pickup; change it to suit the route.
- Check Pricing. Deposit Amount fills in at half the Total Price if you leave it blank, so always look at it before sending. Distance (miles) fills itself in once both Zip Codes and a vehicle year are in.
- Optional: add Carrier Information (company name, MC number, DOT number, driver details). The customer sees this on their page once you fill it in. Use Internal Notes for anything the customer should not see.
- Optional: pick tags and an Estimate source from the row above Customer Information.
- Click Save & Send to save and email it, or Save as Draft to hold it back.
Tip: You can skip the calculator entirely. Go to More›Auto Transport›Estimates and click Create Estimate to type the price in yourself.
3. Send it
On Auto Transport Estimates, the paper-plane button on the row sends the estimate by email. It reads Send Estimate on a draft and Resend Estimate after that, and you can press it as often as you need. On a phone the same button is labelled Send or Resend.
The email carries a link to the customer's own estimate page. It can also carry a PDF copy of the estimate when the template you use has Include Estimate PDF turned on.

Text messages about estimates go out through Email Automations with Also Send as SMS switched on. See Templates and automations.
4. The customer signs and pays
The customer opens the link, reads the estimate, ticks the terms box, signs on the screen, and clicks Approve & Sign Estimate. A pay button then appears for the deposit (or the full amount, if the deposit equals the total) and takes them to a secure card payment page. See What the customer sees.
5. Book the carrier and close it out
- Once the estimate reaches Paid, a truck button appears on the row. Click it, pick a Shipping Date in the Book Shipping box, and click Book Shipping. The estimate moves to Booked Shipping.
- Open the estimate and add the assigned carrier under Carrier Information so the customer can see who is collecting the vehicle. Edits save on their own — you will see Saving... next to the title.
- When the vehicle arrives, click the tick button on the row (Mark as Delivered). The estimate moves to Delivered.
How to check it worked
- The price calculated. The Pricing Results card fills in and the route map draws. If nothing appears, the year, make, and model are all required.
- The estimate saved. You land back on Auto Transport Estimates and the new row is at the top with an estimate number.
- The email went out. A message reads Estimate sent and the status becomes Sent. If it says the email failed, check the customer email address.
- The customer opened it. The Viewed column fills in with a date and time, and the status changes to Viewed on its own.
- They signed. The Signed column fills in.
- They paid. The Paid column fills in, the status becomes Paid, and the payment appears on the Payments page.
- Check it end to end yourself. Click the open-link button on the row to view the customer's page exactly as they see it.
- Automations are firing. On More›Auto Transport›Email Automations, the Times Triggered number goes up.
Common mistakes
- No email address on the estimate. The send button emails the customer. Without an email address nothing goes out, no matter how many times you press it.
- Expecting the send button to text. It does not. Set up an automation with Also Send as SMS if you want text messages.
- Not checking the deposit. If you leave Deposit Amount blank it is set to half the total. Always look at it before sending.
- Leaving the pickup or dropoff Type blank. Business, Dealer, Private, or Auction is required on both ends.
- Leaving an estimate as a draft. Save as Draft does not email anyone. Use Save & Send, or send it from the list afterwards.
- Looking for the truck button too early. Book Shipping only appears once the estimate is Paid, and Mark as Delivered only once it is Booked Shipping.
- Moving an estimate to Paid to tidy the list. Paid, Booked Shipping, and Delivered all record the estimate as paid, which throws off your totals.
- Hitting save while editing. An open estimate saves itself as you type — you will see Saving... next to the title. Do not close the tab in the middle of typing a long note.
- Automations with no send limit. Always set Maximum Send Count, and turn on Stop When Status Changes, or a customer who has already booked will keep being chased.
- Too many statuses. Keep one status per real stage of your process and use tags and sub-statuses for the detail. Long status lists make the tabs and the reports hard to trust.
- Filters left on. If estimates look missing, clear the source filter, the date range, and the status tab before assuming something was deleted.

Working the estimates list
More›Auto Transport›Estimates is where the day-to-day work happens.
Find one
Search by customer name, email, or estimate number. Narrow further with the source dropdown, Created Date or Paid Date, and the date range picker.
Status tabs
One tab per status, each with a live count. Click a tab to see only those estimates.
Tags and source
Tag rows straight from the table (Select Tags) and see which lead source each estimate came from.
Row actions
Send or resend, book shipping, mark delivered, open the customer's page, edit, or delete.
Columns
The table shows, left to right:
- Estimate # and the linked Lead number — click the lead badge to open that lead without leaving the page
- Customer (name and email), Vehicle, and Route (pickup city and state to dropoff city and state)
- Total / Deposit and Status
- Tags, Source, and Pickup Date
- Viewed, Signed, and Paid — the date and time each of those actually happened
- Created By and Date Created
Click a column heading to sort by it — Estimate #, Customer, Total / Deposit, Status, Pickup Date, Viewed, Signed, Paid, Created By, and Date Created can all be sorted, and an arrow shows which way. Click Export CSV to download the rows you are currently looking at as a spreadsheet.
Changing status
On a computer, click the coloured status badge in the row and pick a new status. On a phone, tap the badge to open the Change Status box, which shows the old and new status side by side. If the status you pick has sub-statuses set up (for example reasons a quote was lost), you must choose one before Update Status becomes available.
Moving an estimate to Paid, Booked Shipping, or Delivered also marks it as paid, so use those three only when the money has genuinely arrived.
Totals at the top (admins)
Admins see six summary cards above the table: Total Estimates, Total Amount, Open Estimates, Paid Estimates, Paid Amount, and Deposit (Profit). They follow whatever source and date filters you have set.
What the customer sees
The link in the email opens a page headed Vehicle Shipping Estimate with the estimate number, its status, and the date. From top to bottom the customer gets:
- Download as PDF — saves a copy of the estimate
- Estimate Details — their name and email, the vehicle, and both locations
- A route map and the total distance
- Shipping Schedule — they can set their own Preferred Pickup Date
- Additional Notes — gate codes, preferred times, anything else. Whatever they type here comes back to you on the estimate under Customer Notes with a From Portal badge.
- Pricing Breakdown — Total Price, Deposit Required, Balance Due on Delivery
- Carrier Information, once you have filled it in
- Terms & Conditions, then Approve & Sign with a signature box and an agreement tick box
After signing they see Estimate Approved! and a pay button. After paying they see the amount paid, a Remaining Balance card with a Pay Now button, and a What Happens Next? list covering carrier assignment, pickup scheduling, pickup, and delivery.
If you left the pickup or dropoff address incomplete, the customer is asked to finish it on this page after paying, and it saves straight back onto the estimate.
Portal wording is fixed for this add-on
The company header and the transport terms on this page are set up for you as part of the add-on. They are not edited from Company Settings. Ask your Joby contact if they need changing.
Deposits, balances, and refunds
- The deposit is what the customer pays online to hold the booking. It defaults to half the total when you leave Deposit Amount blank.
- The balance is normally paid to the carrier at delivery, but the customer can also pay it from their estimate page with the Pay Now button.
- Set the deposit equal to the total when you want the whole amount collected up front. The pay button then reads Pay Full Amount.
- Card payments appear on the Payments page, and each one links back to the estimate it came from.
Payments have to be connected first
If card payments are not set up for your company, the pay button will fail. See the Payments guide.
Templates and automations
Templates
- Go to More›Auto Transport›Email Templates.
- Click New Template.
- Give it a Template Name and set Type to Email or SMS.
- For an email, fill in Subject Line and the message body. Turn on Include Estimate PDF if you want a PDF copy attached. For a text message, fill in SMS Message and keep it short.
- Use the Available Variables panel to drop in details that fill themselves in per customer. They are grouped under Estimate, Lead, and Company — click one to insert it.
- Switch to the Preview tab to check how it looks, then click Save Template.
On the templates list, the copy button duplicates a template (the copy is created switched off, so turn Active on when you are happy with it).
Automations
- Go to More›Auto Transport›Email Automations.
- Click New Automation.
- Pick the Email Template to send.
- Choose a Trigger Condition:
- Manual Only — never fires on its own
- When Status Changes — fires the moment the estimate reaches the status you pick
- Time-Based After Status — fires a set number of hours after it reaches that status
- Pick the Trigger Status: Draft, Sent, Viewed, Signed, Paid, Booked Shipping, or Delivered.
- For When Status Changes, set a Keep Sending Interval to repeat the message (0 sends it once), and turn on Stop When Status Changes so chasing stops as soon as the customer moves on. For Time-Based After Status, set Wait Duration (hours).
- Set Maximum Send Count — how many times this rule may ever fire for the same estimate.
- To also text the customer, turn on Also Send as SMS, pick an SMS Template, and choose the From Number.
- Leave Enabled on and click Save Automation.
The automations table shows each rule's template, trigger, wait time, max sends, how many times it has fired (Times Triggered), whether it also texts, and an on/off switch you can flip without opening the rule.
Example: A follow-up on quotes that went quiet — template Still thinking it over?, trigger Time-Based After Status, status Viewed, Wait Duration 48, Maximum Send Count 2.
Settings that shape this module
- Settings›Estimate Settings›Statuses — add, rename, reorder, colour, hide, or add sub-statuses. Tick Auto Transport Estimate under Applies to so the status appears here. Click New Status to add one.
- Settings›Estimate Tags — the list of tags you can put on an estimate, with colours. This page is admin-only and does not appear on every account; if it is missing, you can still apply existing tags from the estimate itself.
- Settings›Ad Sources — fills the Estimate source dropdown and the source filter on the list.
- Settings›Team Roles — the Auto Transport permission under Industry Modules controls who can see any of this.
Where auto transport estimates show up elsewhere
- On the lead — open a lead and its estimates tab lists auto transport estimates labelled Auto Transport. Click one to open it.
- Global search — search results include auto transport estimates under an Auto Transport heading.
- Payments — each payment links back to the estimate that produced it.
- Notifications — clicking an estimate notification opens that estimate.
- Visual Workflows — a workflow can create an Auto Transport Estimate, and a workflow can be started when an Auto Transport Estimate changes status. See Visual Workflows.
